Can I Book a Space on lo:live at Short Notice?

Learn about minimum lead times and short-notice bookings on lo:live. Understand why venues require notice and how to fast-track your booking request.

Updated over a week ago

Yes. It is entirely possible to book a space at short notice on lo:live, but your success will depend entirely on the specific venue, their internal processes, and the complexity of your activation.

The ability to turn around a last-minute booking varies from location to location. While some privately-owned venues can accommodate turnarounds in a matter of days, major shopping centres, transit hubs, and council-owned lands often have strict minimum lead times baked into their operating procedures.

Our Recommendation: 2 Weeks' Notice

To ensure a smooth, stress-free process, we strongly recommend a minimum of 2 weeks' notice before your intended live date.

Even if a location provider approves your booking immediately, you must complete mandatory pre-activation requirements before you are legally allowed on-site. These 14 days give you the necessary window to handle Health & Safety Compliance (RAMS), Public Liability Insurance, site inductions, and local council street trading permits.

How to Fast-Track a Short-Notice Booking

If you are against the clock and absolutely must secure a space quickly, follow these strategies:

  1. Target Spaces with Live Availability: Focus your search on spaces that have live availability and live pricing. This allows you to submit a formal booking request immediately.

  2. Keep the Activation Simple: A simple roaming sampling team is much easier for a venue to approve quickly than a complex custom-built stand.

  3. Have Your Compliance Documents Ready: Have your RAMS, Public Liability Insurance, and visual mockups fully prepared before you click book. Upload them directly in Step 1 of the booking flow.

Have Questions or Need Help?

If you need to know if a venue can accept a rapid turnaround, the absolute best person to ask is the Location Provider (LP).

Do not just submit the booking and wait. Contact them directly using the lo:live messaging feature to alert them of your short-notice request. Please note: You cannot message a Location Provider from the general Location Page. You must initiate the message from either the specific Space Page or from within your Campaign workspace.
