How to Bulk Book Multiple Retail or Experiential Spaces on lo:live

Learn how to use the lo:live Campaign workspace to bulk book multiple experiential spaces simultaneously. A complete guide to managing national tours and multi-site campaigns.

Yes. If you are managing a national tour, a multi-city sampling campaign, or simply need to secure several locations simultaneously, you can bulk book multiple activities at once using your Campaign workspace. Bulk booking is the most powerful administrative tool on lo:live for multi-site campaigns. It eliminates the tedious process of submitting individual booking requests one by one.


Prerequisites for Bulk Booking

Before you can bulk book, you must meet two conditions:

  1. Spaces must be in a Campaign: All the spaces you want to book must be saved to the same Campaign workspace.

  2. Activities must be "Ready to Book": You must have selected dates for each space, which creates an "Activity." The status of these activities must show as Ready to book. (Note: If you added a space that required an availability or pricing request first, you must wait for the location provider to approve it before the activity becomes ready to book).

Step-by-Step Guide to Bulk Booking

Step 1: Initiate Bulk Booking Navigate to the Activities section of your Campaign page. At the top right of this section, click the Bulk book button.

Step 2: Select Your Activities A modal will appear displaying all your activities. It is important to note that you are selecting activities (the specific combination of a space and your chosen dates), not just the spaces themselves.

Tick the boxes next to the activities you want to confirm, then click Book N spaces (where N is the number of selected activities).

Step 3: The Unified Booking Flow You will now enter the standard 5-step booking flow, but your inputs will apply to all selected activities:

  • Campaign & Documents: Upload your stand designs and brand assets once.

  • Event Info: Enter your stand dimensions, staffing numbers, and activation type.

  • Billing: Select your billing profile once.

  • Terms & Submit: Acknowledge the individual venue terms and hit Submit.

Although you submitted them together, each booking is now managed individually by its respective location provider. Your Campaign dashboard will show all selected activities updated to Booked pending approval.
