Transport Operator Portal: Billing, Subscriptions and Invoices

This article covers how billing works on the Log Ninja Company Portal, pricing, billing cycles, prorated charges, invoices, and payment management.

How do subscriptions work?

One driver = one subscription. You manage subscriptions from your Drivers list by clicking Subscribe or Unsubscribe next to a driver's name. The portal is billed at $7.99 per driver, per month. This covers cloud storage, compliance reporting, and portal access for that driver.

Your monthly total is based on how many drivers you're subscribed to at any given time. There are no fixed tiers, you pay only for the drivers you need.

Billing applies to the Transport Operator Portal only. The Log Ninja mobile app is free for drivers β€” drivers do not need a subscription to use the mobile app, access their logs, or share them.


Your billing date

Your billing date is set the moment you subscribe to your first driver. This becomes your fixed monthly billing date going forward. All driver subscriptions, no matter when they're added, align to this single billing date. You receive one charge per month covering all subscribed drivers.

Example: You subscribe to your first driver on 12 March. Your billing date is now the 12th of each month. Every driver you subscribe to after that will be included in your monthly charge on the 12th.


Adding a driver mid-cycle

When you subscribe to a new driver partway through your billing cycle, you are charged a prorated amount immediately. This covers the remaining days from the subscription date to your next billing date.

From the next billing date onwards, the full $7.99 for that driver is included in your regular monthly charge.

Example:

  • Your billing date is the 12th of each month

  • You subscribe to a new driver on the 22nd

  • There are 20 days remaining until the 12th of the following month

  • You're charged immediately: $7.99 Γ· 30 Γ— 20 = $5.33 (prorated)

  • From the 12th onwards, the driver is charged at the full $7.99/month

Important: A driver will only appear in your subscribe to list if they have already logged work against your company in the Log Ninja mobile app. If you cannot find a driver, please ask them to make sure they have selected your company when recording their log.


Removing a driver

When you unsubscribe a driver:

  1. No refund is issued for the remaining days in the current billing cycle

  2. The driver remains active with full access until the end of the current billing cycle

  3. The charge for that driver stops at the next renewal

Example:

  • Your billing date is the 12th

  • You unsubscribe a driver on the 20th

  • The driver stays active until the 12th of the following month

  • From that renewal onwards, the driver is removed from your bill

If you accidentally unsubscribe a driver before the billing cycle ends:

  1. Click Cancel Unsubscribe next to the driver's name

  2. The driver remains active without interruption

  3. Billing continues as normal in the next cycle


Pausing or stopping billing

Unsubscribe from all active drivers in your Drivers list. Your billing will drop to $0 from the next renewal. You can resubscribe at any time.

What happens after all drivers are removed

Your account remains active until the end of your current billing cycle. After that:

  • Access to subscribed driver records is locked

  • Your account is not deleted, it stays in place

  • Resubscribing to any driver restores access and resumes billing


Invoices

Invoices are available on the billing page in your portal account. You can download them at any time.

Each invoice includes:

  • Billing period covered

  • Drivers included in that billing cycle

  • Prorated charges for any drivers added mid-cycle

  • Total amount charged

  • Payment method used

Invoices are generated automatically after each billing cycle charge.


Payment method

All payments are processed through Stripe. You enter your card details once during your first subscription, all future charges are processed automatically.

Updating your payment method

Go to the billing page in your portal account to update your card or change your payment method. Changes take effect for the next scheduled charge.

Payment security

Log Ninja does not store your card details. All payment data is handled by Stripe, which is PCI DSS Level 1 compliant, the highest level of payment security certification.


Billing FAQ

Q: I just subscribed β€” why was my first charge less than $7.99?

A: You subscribed partway through a billing cycle, so you were charged a prorated amount for the remaining days. Your next charge on your billing date will be the full $7.99.

Q: Why was my monthly charge higher than expected?

A: You likely added a new driver mid-cycle. The prorated charge for their remaining days was added to your bill immediately. Check your invoice on the billing page for a breakdown.

Q: Can I get a refund for an unsubscribed driver?

A: No. Subscriptions are prepaid for the current billing cycle. Unsubscribing stops future charges but does not refund the current cycle.

Q: Can I change my billing date?

A: No. Your billing date is set when you subscribe to your first driver and cannot be changed.

Q: Where are my invoices?

A: On the billing page in your portal account. You can download any past invoice at any time.
