Transport Operator Portal: Billing, Subscriptions and Invoices

Written by Kris

This article explains how billing works in the Log Ninja Transport Operator Portal, including company-paid driver access, pricing, billing cycles, prorated charges, invoices, and payment management.

From 1 June 2026, drivers need an active Log Ninja subscription to keep using the app. This can be paid by the driver, or by a transport operator through the Transport Operator Portal.

If your company pays for a driver through the portal, that driver gets full Log Ninja app access and does not need to subscribe separately in the mobile app.

How do subscriptions work?

One driver = one company-paid subscription.

You manage driver subscriptions from your Drivers list by clicking Subscribe or Unsubscribe next to a driver’s name.

Company-paid access is billed at $7.99 per driver, per month, excluding GST.

When your company subscribes to a driver:

  • your company gets dashboard access for that driver

  • the driver gets full Log Ninja app access while your company’s subscription for them is active

  • the driver does not need to pay for an individual driver subscription in the app

Your monthly total is based on how many drivers your company is subscribed to at any given time. There are no fixed tiers. You only pay for the drivers your company chooses to cover.

Drivers who are not covered by your company can subscribe individually in the Log Ninja app from 1 June 2026.

Company-paid pricing

Detail

Amount

Per driver, per month

$7.99 excl. GST

Example, 10 drivers

$79.90 excl. GST

Before 1 June 2026, drivers can continue using the Log Ninja app as they do now. From 1 June 2026, driver app access requires an active subscription. This can be paid for by the driver in the app, or by your company through the Transport Operator Portal. If your company pays for a driver, that driver does not need to subscribe separately in the app.

Your billing date

Your billing date is set the moment you subscribe to your first driver. This becomes your fixed monthly billing date going forward. All driver subscriptions, no matter when they're added, align to this single billing date. You receive one charge per month covering all subscribed drivers.

Example: You subscribe to your first driver on 12 March. Your billing date is now the 12th of each month. Every driver you subscribe to after that will be included in your monthly charge on the 12th.

Adding a driver mid-cycle

When you subscribe to a new driver partway through your billing cycle, you are charged a prorated amount immediately. This covers the remaining days from the subscription date to your next billing date.

From the next billing date onwards, the full $7.99 for that driver is included in your regular monthly charge.

Example:

  • your billing date is the 12th of each month

  • you subscribe to a new driver on the 22nd

  • there are 20 days remaining until the 12th of the following month

  • you're charged immediately: $7.99 ÷ 30 × 20 = $5.33 excl. GST (prorated)

  • from the 12th onwards, the driver is charged at the full $7.99/month

Removing a driver

When you unsubscribe a driver:

  1. no refund is issued for the remaining days in the current billing cycle

  2. the driver remains active with full access until the end of the current billing cycle

  3. the charge for that driver stops at the next renewal

  4. after company-paid access ends, the driver will need another active subscription to keep creating new log entries

The driver will not lose their log history. If they do not have another active subscription, their account will move to read-only. They can still view and export existing records, but they cannot create new log entries until they have an active subscription.

Example:

  • your billing date is the 12th

  • you unsubscribe a driver on the 20th

  • the driver stays active until the 12th of the following month

  • from that renewal onwards, the driver is removed from your bill

If you accidentally unsubscribe a driver before the billing cycle ends:

  1. click Cancel Unsubscribe next to the driver's name

  2. the driver remains active without interruption

  3. billing continues as normal in the next cycle

Pausing or stopping billing

Pause billing

To pause company billing, unsubscribe from all active drivers in your Drivers list.

Your billing will drop to $0 from the next renewal. You can resubscribe to drivers at any time.

What happens after all drivers are removed

Your company account remains active until the end of your current billing cycle.

After that:

  • access to subscribed driver records is locked

  • your company account is not deleted

  • billing stops unless you subscribe to drivers again

  • resubscribing to a driver restores company dashboard access for that driver and resumes billing

  • drivers who are no longer covered by your company will need another active subscription to keep creating new log entries

Invoices

Invoices are available on the billing page in your portal account. You can download them at any time.

Each invoice includes:

  • billing period covered

  • drivers included in that billing cycle

  • prorated charges for any drivers added mid-cycle

  • total amount charged

  • payment method used

Invoices are generated automatically after each billing cycle charge.

Payment method

All payments are processed through Stripe. You enter your card details once during your first subscription, all future charges are processed automatically.

Payment security

Log Ninja does not store your card details. All payment data is handled by Stripe, which is PCI DSS Level 1 compliant, the highest level of payment security certification.

Billing FAQ

Q: I just subscribed — why was my first charge less than $7.99?

A: You subscribed partway through a billing cycle, so you were charged a prorated amount for the remaining days. Your next charge on your billing date will be the full $7.99.

Q: Why was my monthly charge higher than expected?

A: You likely added a new driver mid-cycle. The prorated charge for their remaining days was added to your bill immediately. Check your invoice on the billing page for a breakdown.

Q: Can I get a refund for an unsubscribed driver?

A: No. Subscriptions are prepaid for the current billing cycle. Unsubscribing stops future charges but does not refund the current cycle.

Q: Can I change my billing date?

A: No. Your billing date is set when you subscribe to your first driver and cannot be changed.

Q: Where are my invoices?

A: On the billing page in your portal account. You can download any past invoice at any time.

Q: Do drivers need to pay if our company pays for them?

A: No. If your company subscribes to a driver through the Transport Operator Portal, that driver gets full Log Ninja app access while your company subscription for them is active. They do not need to subscribe separately in the app.

Q: Do drivers need to pay to use the Log Ninja app?

A: From 1 June 2026, driver app access requires an active subscription. If your company pays for a driver through the Transport Operator Portal, the driver does not need to pay separately. If your company does not pay for them, they can subscribe individually in the app.
