Learn about inviting collaborators, roles, workflows, post states, assigning collaborators, comments, and notification setting

Loomly allows you to collaborate with multiple clients in one place!

Inviting Collaborators

  • You can also invite collaborators in the Users section of Account Settings if you are the subscriber/owner of the calendar(s)

  • Each collaborator who is invited will receive an email invitation requesting them to join. They will either need to create a Loomly account or log in if they have an existing Loomly account.

📝 Note:

1. If the collaborator does not have an existing Loomly account, the invitation will expire in 2 weeks. You can view the expiration date by hovering your cursor over the info sign.

2. If the invitation email was accidentally deleted or if the invitation expired, please select the Resend Invite (the paper plane) icon next to their email address to send another invitation.

3. You are allowed up to resend up to 3 invites for one collaborator. If your collaborator has not created their account and you do not have any more invites remaining, then please revoke the invite by removing it, and invite your collaborator again.

Collaborator Roles

Workflows 

We offer 3 different workflows which determine how a post is created from start to finish

  • Original Workflow: our most extensive workflow, which means you should have 6 different post states (Draft, Pending Approval, Requires Edit, Approved, Scheduled & Published). This workflow is ideal for larger teams or if multiple collaborators are involved in the approval process. This means that after a post is approved, you need to click on "schedule" to actually schedule it.

  • Lite Workflow: automatically schedules approved posts, with 5 different post states (Draft, Pending Approval, Requires Edit, Scheduled & Published). This workflow is ideal for smaller teams or if one collaborator is in charge of the approval process.

  • Zero Workflow: automatically schedules approved posts, with 3 different post states (Draft, Scheduled, and Published). This workflow is ideal if one collaborator is in charge of the approval process. 

  • Custom Workflow: automatically assign users to specific post statuses and block movement into a post status by requiring specific users to act.

Collaborating

Assigning Collaborators

  • Select Collaborators in the dropdown in the Assigned To menu, which is available in List View and Post View

  • You can assign collaborators to multiple posts with our bulk actions feature in List View

  • Once assigned, a collaborator is notified by email, through a push notification on mobile, or Slack and Microsoft Teams notifications (if Slack or Microsoft Teams has been activated)

  • Multiple collaborators can be assigned to a post so they can take part in the approval and publishing process

  • You can also assign a post to Everyone if your team works in batches

Comments

  • Leave internal comments in Post View to your team that you can edit or delete later

  • @mention certain collaborators if you want to leave a direct comment for them

  • Comment history and changes history is available for all collaborators

  • Mark comments as private so that they are invisible to those assigned to a client role

  • Pin comments that you believe are important so that they are visible at the top of everyone's post history

Notifications

  • Notifications are sent via email, through a push notification on mobile, a Slack or Microsoft Teams notification (if Slack or Microsoft Teams notifications has been activated)

  • Set notification settings for actions in each of your calendars from the Notifications section of your Account Settings

Interactions

  • Assign Interactions to collaborators to ensure your team properly engages with your audience

  • Check who has replied to a specific interaction to keep track of all your communication

  • Filter interactions by assignee so you can see the interactions you or your collaborator have been assigned
