The Invoice Center feature automatically compares your initial quotes against final invoices to identify discrepancies, help you dispute extra charges, and keep your future quoting accurate.
Why use the Invoice Center?
Shipping costs can change after a shipment leaves your dock due to reweighs, re-classifications, or added services like lift gate pickup or delivery. This feature does the heavy lifting for you by:
Identifying Variances: Instantly seeing the difference between what you were quoted and what you were charged.
Root Cause Tagging: Knowing exactly why the price changed (e.g., a weight discrepancy or a missing residential delivery fee).
Self-Correcting Data: Prompts you to update your saved items or addresses so your future quotes are 100% accurate.
How to Audit and Resolve a Shipment Invoice
Step 1:
Navigate to the menu (☰) on the top left and click Invoice Center . Any shipment with a financial discrepancy will now be flagged for your review.
Step 2: Review the Variance
Find the flagged shipment to open the Invoice Audit view. Here, you will see a side-by-side comparison of your Quoted Rate versus the Final Invoice from the carrier (e.g., FedEx Freight).
Step 3: Identify the "Root Cause" LTL Select will automatically highlight the reason for the price change. Common tags include:
Reweigh: The carrier scale recorded a different weight than entered.
Re-classification: the Freight Class or NMFC was adjusted.
Missing Accessorials: Charges for services like Liftgate or Limited Access that weren't in the original quote.
Step 4: Update Your Records for Next Time When a variance is confirmed (like a permanent change to an item's weight), LTL Select will ask: "Would you like to update this item/address for future shipments?" Select Yes to update your Address Book or Item List, ensuring your next quote is correct from the start.
💡 Pro-Tips for Accuracy
Watch for patterns: If you see "Residential Fee" appearing frequently for the same customer, click Yes when prompted to add that service to their Address Book profile.
Weight Matters: Frequent "Reweigh" tags are a sign your warehouse scales might need a quick calibration or your saved Item weights need an update.
