How to Connect QuickBooks to LTL Select

The LTL Select <> QuickBooks integration automates the financial reconciliation of your freight costs. Once connected, invoices can be posted directly to QuickBooks — eliminating manual double-entry — and payment status flows back into LTL Select in real time, so your team always knows what's been billed and what's been paid.

What this integration does today:

  • Automatically creates a detailed Bill in QuickBooks for shipments, assigned to the respective carrier.

  • Pushes shipment invoices from the LTL Select Invoice Center page directly to QuickBooks with a single click.

  • Precisely maps all line-item invoice charges (e.g., Freight Expense, Fuel Surcharges, and Accessorials like liftgate or residential delivery) from LTL Select into the categorized details of your QuickBooks bill.

  • Attaches the shipment's PRO and BOL numbers to the QuickBooks record, so you can cross-reference a Bill back to its shipment at a glance.

  • Pulls payment status; Unpaid, Partially Paid, or Paid, from QuickBooks back into LTL Select automatically.

  • Shows a Paid indicator on each shipment in LTL Select, so your logistics and operations team can see what's financially settled without needing access to QuickBooks.

What you'll need:

  • Admin access to your QuickBooks Online account

  • Access to the LTL Select Integrations Hub

  • A few minutes to map your carriers and customers the first time you connect

Part 1: Initial Setup and Mapping

Step 1: Go to the Integrations Hub

In LTL Select, navigate to the Integrations Hub page in the main menu.

Step 2: Connect Your QuickBooks Account

  • Find the QuickBooks card and click Connect.

  • You'll be redirected to sign in to QuickBooks and authorize the connection.

  • Once authorized, you'll be returned to LTL Select with your account connected.



Step 3: Map Vendors and Customers

Before invoices start syncing, confirm that your data lines up correctly between the two platforms:

  • Match each carrier in LTL Select to its corresponding Vendor in QuickBooks.

  • Match each shipping customer in LTL Select to its corresponding Customer or Job in QuickBooks.

  • Confirm that currency settings match across both platforms so amounts sync accurately.

Step 4: Map Cost Categories

Assign LTL Select charge types — base freight, fuel surcharge, and accessorials — to the matching categories in your QuickBooks chart of accounts. This ensures each charge lands in the right place automatically.

Step 5: Let It Sync

Once connected and mapped, the integration runs automatically. As soon as a shipment reaches its billable milestone, meaning FedEx Freight has issued the invoice in LTL Select, a Bill is generated and posted to QuickBooks with the cost breakdown and PRO/BOL reference attached.

Step 6: Track Payment Status in LTL Select

As payments are recorded in QuickBooks (Unpaid, Partially Paid, or Paid), that status syncs back to the corresponding shipment in LTL Select. Your team can check the Paid indicator directly on a shipment without logging into QuickBooks.



⤷Part 2: Syncing Audited Invoices & Discrepancies⤶

The integration also lets you seamlessly push audited invoices and shipment discrepancies from your LTL Select dashboard directly into QuickBooks, ensuring your accounting records reflect any final adjustments.

Step 1: Go to the Invoice Center Page

In LTL Select, navigate to the Invoice Center page. Here, you can review your quoted vs. invoiced shipment costs and identify any discrepancies.



Step 2: Select the Invoices to Send

Locate the shipment(s) you want to record in your accounting software. Check the box on the left side of the row for the specific shipment(s) you wish to push. You can select a single invoice or multiple at once.

Step 3: Push to QuickBooks

Once your shipments are selected, click the SEND TO QUICKBOOKS button located at the top right of the table. You will see a brief loading message followed by a green success banner confirming the invoice was saved to QuickBooks.

Step 4: Locate the Bill in QuickBooks

Log into your QuickBooks account and navigate to Expenses > Suppliers. Select the specific carrier for that shipment (for example, FedEx Freight Priority (USD)). Under the transaction list, you will see a newly created Bill matching your LTL Select BOL number.

Step 5: Review the Itemized Details

When you open the Bill in QuickBooks, you will see that LTL Select has done the heavy lifting for you. Every line item from the LTL Select invoice such as physical product costs, dimensional weight differences, fuel surcharges, residential delivery fees, and discounts has been automatically itemized and categorized on the bill.

How to Disconnect

Go to the Integrations Hub in LTL Select and click Disconnect on the QuickBooks card. This stops new invoices from posting and payment statuses from syncing. Bills already posted to QuickBooks will remain there.
