💲 Open Price Items

Let the POS ask for the price when an item is rung — for specials, market-price dishes and one-offs — and control which roles can sell them.

Some things don't have a fixed price — the catch of the day, a bottle a guest brought in, a one-off special. An Open price item lets the POS ask for the price each time it's rung, instead of you editing the menu.

Before you start

Nobody can sell an open-price item until their role has the permission. Do this first, or the item will show up greyed out on the POS.

1. Give the right roles permission

  1. Go to POS Roles and permissions in the back office and open a role.

  2. Under Permissions, in the Order section, turn on Can sell open item.

  3. Save. Repeat for each role that should be able to sell open-price items — it's off for every role until you turn it on.

The POS picks the change up on its own; nobody needs to log out or restart.

2. Flag the item

  1. Go to Products, open the item, and open the Price Configuration tab.

  2. Tick Open price. Save.

Leave the regular price in place if you want it offered as a suggestion at the till — it shows as Default price when the item is rung. Set it to $0 if you want the cashier to always type a price.

If the product has variants, the flag applies to every variant, and the variant prices aren't shown on the POS for that item — whatever the cashier types is the price.

What happens on the POS

  • Tap the item and a keypad opens: Enter the price for [item]: with the Default price shown above it.

  • Type the price and press Enter. Press Enter with nothing typed to use the default price. Exit backs out without adding anything.

  • The minimum is $0.01 — a $0 price isn't accepted, and neither is a negative one.

  • Items with modifiers or variants ask for the price first, then open as usual.

  • The same item rung at two different prices stays on two separate lines rather than merging into a quantity of 2.

A few things worth knowing

  • Greyed out on the POS? The logged-in employee's role doesn't have Can sell open item. There's no error message — the tile just won't respond.

  • Open-price items configured at $0 still show on the menu even if you hide $0 items in your company settings.

  • Promotions and taxes apply to the entered price like any other item.
