What are multi asset work orders for?

Multi asset work orders let one work order cover several assets. For example, you can service three machines on the same site visit with a single work order.

How do I assign multiple assets?

You can assign multiple assets when you create the work order, or later from the work order detail page while the work order is not closed.

The asset list filters itself based on your first choice:

  • If a company is assigned, only that company's assets are available.

  • If no company is assigned and you pick an asset that belongs to a company, that company is assigned automatically. Only its assets remain available.

  • If you pick an asset with no company, only other assets with no company remain available. A company cannot be assigned to the work order later.

All assets on a work order must belong to the same company. Once an asset is attached, it cannot be removed.

Where are asset custom fields shown?

Asset custom fields appear in the sidebar when the work order has exactly one asset. They are hidden when it has more than one.

How do procedures work with multiple assets?

  • Procedures on a multi asset work order apply to all of its assets.

  • Once finalised, the procedure appears in the history of every asset on the work order.

  • In the sub asset field of a procedure, pick the asset first, then its sub assets.

How do parts work with multiple assets?

  • The Parts section shows parts for every asset, with an Asset column showing the asset name and serial number.

  • When you add a part, first choose which asset it is for from the asset dropdown in the parts modal.

  • If a work order has no assets, you can add any part and there is no Asset column.

What happens to parts when I add assets?

If the work order already has parts:

  • Adding one asset: parts that do not belong to that asset are removed. You are asked to confirm first.

  • Adding several assets at once: all parts are removed, because parts cannot be tied to several assets at once. You are asked to confirm first.

Click Assign & Remove Parts to continue, or Cancel to keep the work order as it is. Removed parts are returned to stock.

What happens if an asset or company is deleted?

  • A deleted asset stays on the work order in a deleted state and cannot be removed.

  • A deleted company stays on the work order in a deleted state, and no more assets can be added. Its contacts lose access, because the portal is deleted along with the company.
