This article describes how you can schedule the work order on the calendar for better work order management

The "Scheduling Work Orders on Calendar" feature is designed to enhance the work order management process by allowing users to schedule and allocate work orders on a visual calendar interface. This provides a seamless way to organize and track work orders, helping teams improve their workflow efficiency and prioritize effectively.

  • Visual Representation: The feature offers a user-friendly calendar interface that provides a clear and intuitive visual representation of all scheduled work orders. This allows users to quickly grasp their workload and make informed decisions.

  • Efficient Task Allocation: Users can easily assign work orders to specific service engineers, dates, and times, distributing work orders evenly across days or weeks. This helps in preventing overloading of certain days and ensures a balanced distribution of work.

  • Prioritization: The calendar view enables users to prioritize tasks by dragging and dropping work orders to different time slots. This way, urgent work can be given precedence, and users can adapt to changing priorities.

  • Collaboration: Team members can view the shared calendar to see each other's schedules. This transparency fosters collaboration as team members can coordinate based on each other's availability and workloads.


Overview of Calendar

The primary interface presents a weekly and a daily view of the calendar, depending on your preference. Under the all-staff column, you can see all the team members added to your platform. Each row in the calendar represents a timeslot for each team member.

You can filter the team members by clicking the “All Staff” dropdown and selecting the team members you want to see the schedule on the calendar.

You can easily navigate between different time periods using intuitive controls <>. By default weekly calendar is shown and you can switch to the daily calendar by selecting the “Day”.

Scheduling Work Orders on Calendar

To schedule work orders on the calendar

Steps:

  1. Drag and drop work orders onto specific team member schedules on the calendar.

  2. If the work order is not assigned to any other team member it will be automatically assigned to the team member. If it is assigned to a team member and you try to schedule it on a different team member calendar, the system will ask for confirmation before changing the assignee to a new team member. In the pop-up, you have more options for scheduling that include

    1. All Day: By default “All Day” is selected in the Scheduling section. This allows you to specify the time frame within which the work order has to be completed by the team member. You can select any date range from one day to multiple days for the work order.

    2. Specific Timeslots: You can also schedule the work order to be worked at a certain time of the day by unchecking the “All Day” option. In From and To fields you can specify the start and end time for the work order. If the work order is scheduled for multiple days, the start and end times will be applicable for each day the work order is scheduled for. Selecting "Update" will schedule the work order for the team member.

    3. Adjust Work Order Duration: You can adjust the duration of a work order by resizing it on the calendar, which is useful for work with variable time requirements.

    4. Scheduling Multiple Work Orders on the Same Day: You can schedule multiple work orders for a team member on the same day. There are some constraints that will be applied when scheduling.

      1. All Day: If the work order is scheduled for the whole day then no other work order can be scheduled on the same day for the team member.

      2. Specific Timeslots: If the work order is scheduled for a specific timeslot on a day then another work order can be scheduled for the same day given the timeslot does not overlap with the previous work order timeslot.

Viewing Work Order Details on Calendar

  • You can view details of the work order by clicking on a work order on the calendar that will open a pop-up displaying key details such as work order ID, title, machine name, facility name, assignee, etc. Other options include

    • View Work Order: It will open the work order detail page.

    • Edit: It will open the pop-up to edit the scheduling of the work order. You can edit work order details directly from the pop-up without leaving the calendar view.

    • Unschedule: The work order will be unscheduled and removed from the calendar.

    • Unschedule and Unassign: The work order will be unscheduled and removed from the calendar. The team member will also be unassigned from the work order.
