Rooming Allocation Documents

Rooming arrangements are a vital part of your trip's planning process. We will provide a rooming spreadsheet directly to the Party Leader, which will need to be completed and returned to us.

Key Information

  • Party Leader Responsibility: The Party Leader is responsible for completing the rooming spreadsheet accurately.

  • Timing: While we aim to arrange rooming well in advance, it is possible for rooming details to be finalized as late as one week before departure.

  • Links to your rooming documentation will be conveniently available on your SLIC page for easy access.

By keeping your rooming information organized and timely, we can ensure a smooth and comfortable stay for everyone in your group. For assistance or questions, contact your Tour Coordinator.


Rooming arrangements depend on the group’s age, destination, and hotel:

Standard Rooming:

  • Pupils: Multi-bedded rooms (3-5+ beds).

  • Staff: Twin rooms.

  • Single rooms: Available for a supplement, paid by the school.

Key Points to Note:

  • Some students may have to share beds,

  • "Continental twins" (double bed frame with two mattresses) are common.

  • Towels and soap are provided, saving luggage space.

  • Other schools may share the hotel, and groups may be on the same floor as members of the public during peak periods.

Damage Responsibility:

  • Inspect rooms upon arrival and departure for damages.

  • Report issues to hotel staff and Max Ski promptly to avoid charges. Use the "Hotel Condition Survey" in on your SLIC page.

  • Any damages must be paid for by the Party Leader before departure.

USA Rooming Rules:

  • Standard occupancy: 4 students or 2 adults per room with shared queen beds.

  • Under-occupancy supplements apply; rollaway beds may reduce these costs.

Special Requirements:

  • Notify us in advance of accessibility, disability, or non-binary rooming needs.

  • Additional charges for extra rooms are the responsibility of the school.

Additional Notes:

  • Rooms are serviced regularly; pupils should keep them tidy.

  • Phoning from hotel room phones can be costly—request removal of this feature if necessary.

  • All passengers must abide by the Hotel's check in/ check out times. Flexible check-in/out times may be available but may incur additional charges.

  • European city taxes are covered by Max Ski.
