Overview
Maxanet lets you reverse a MaxanetPay credit card charge through Merchant Track, the MaxanetPay transaction dashboard built into your Maxanet Admin panel. Whether you need to refund a bidder who returned an item, cancel a charge that was processed by mistake, or void a pending transaction before it settles, everything happens from the same Merchant Track screen — you do not need to call Fullsteam or use a separate portal.
Void vs. refund — which one applies? A void cancels a transaction that has not yet been batched and settled, so the bidder is never actually charged. A refund returns money on a transaction that has already processed. Merchant Track automatically shows you the correct option based on whether the transaction has settled.
Before you start
To refund or void a MaxanetPay transaction you need an approved and boarded MaxanetPay account, login access to Merchant Track (the Merchant Track menu appears at the bottom of your Maxanet Admin panel once your Merchant ID has been entered), and the bidder's name, customer ID, transaction ID, or the approximate date the transaction was processed.
How to find a MaxanetPay transaction in Merchant Track
Log into your Maxanet Admin panel and open Merchant Track from the left-hand menu. Click $ Transaction Search. You can search for a transaction by Transaction ID, Account Holder Name, Customer ID, or a Date Range — searching by Account Name or Customer ID is the fastest option because either one can surface every transaction associated with a specific bidder. Type your search term and click Search to pull up the matching transaction list, then click the blue link on the transaction row you want to work with to open its details.
How to tell whether a transaction can be voided or refunded
Once you open a transaction's detail page in Merchant Track, look for the green banner on the right side of the screen. Below the green banner is the Actions section, and Merchant Track automatically shows you the options available for that specific transaction's current state:
If the transaction has already been processed and settled, the Actions section shows a Refund link
If the transaction has not yet been batched and processed, the Actions section shows a Void link instead
You will never see both options at the same time for a single transaction — Merchant Track decides which one applies based on whether the charge has cleared.
How to void a pending MaxanetPay transaction
If Merchant Track shows a Void action for the transaction, click the Void link and confirm. A voided transaction never reaches the bidder's card as a charge — it simply disappears from the pending batch and will not appear on the bidder's card statement. Voids are instant and do not take processing time.
How to refund a processed MaxanetPay transaction (full or partial)
If the transaction has already settled, click the blue Refund link in the Actions section. On the next screen, Merchant Track asks whether you want to refund the entire purchase or only a portion of it. To issue a partial refund, type the exact dollar amount you want to return and click Next. Merchant Track submits the refund through MaxanetPay, and the refund will post back to the bidder's credit card through the normal card-issuer timeline (usually 2 to 10 business days depending on the bidder's bank).
Common questions about refunding and voiding MaxanetPay transactions
How long does a MaxanetPay refund take to appear on a bidder's card?
Refunds are submitted to the card processor immediately from Merchant Track, but the actual time the bidder sees the money back on their card depends on the bidder's card issuer — typically 2 to 10 business days. Voids, by contrast, never actually charge the card, so there is nothing to return and nothing to wait for.
Can I refund only part of a MaxanetPay transaction?
Yes. On the Refund screen in Merchant Track, enter the specific dollar amount you want to refund instead of refunding the entire purchase. You can issue multiple partial refunds against the same transaction up to the original total.
Why do I see a Void option instead of a Refund option?
Merchant Track shows the Void action when the transaction has not yet been batched and processed by the card processor. This usually means the charge was submitted recently and has not finished settling. A void is always preferable to a refund when it is available because the bidder is never actually charged — there is no waiting period and no processing fees involved.
Can I void a MaxanetPay transaction after it has settled?
No. Once a MaxanetPay transaction has been batched and settled by the processor, voiding is no longer possible and Merchant Track will only show the Refund option. You will need to issue a refund instead.
Is there a refund limit for MaxanetPay?
You can refund up to the original transaction amount. You cannot refund more than was originally charged, and you cannot issue a refund for a transaction that was never processed through MaxanetPay in the first place (for example, a cash payment recorded in Maxanet).
Do refund fees get charged back to me?
Refund handling varies by Fullsteam merchant agreement. For questions about refund fees on your specific MaxanetPay account, contact Fullsteam Payment Services at 334-329-6775 (option 4, then option 2) or email payments.support@fullsteam.com.
