Email Templates in Maxanet — manage every automated bidder and admin email

Every automated Maxanet email — bidder, consignor, invoice, admin — is edited or disabled under Configurations → Email Templates with category-specific shortcodes.

Overview

Every automated email that Maxanet sends — bidder registration confirmations, invoice notifications, outbid emails, password resets, admin alerts — is managed from one central page under Admin → Configurations → Email Templates. You can edit the subject and body of any template, mark templates inactive to stop them from sending, and use category-specific shortcodes (like [Invoice number] or [Name]) to personalize each email.

How to open Email Templates in Maxanet

From your Maxanet Admin panel, go to Admin → Configurations → Email Templates. The page lists every automated system email sent to your users, grouped by category (Admin Emails, Bidder and Consignor System Emails, Invoice System Emails, and so on). The far-right column of each row has Edit and Mark Inactive / Disable actions.

Why the From Email address must be domain-verified

Important: the From Email on your email templates needs to be a domain-based email address (for example, auctions@yourdomain.com), and that domain must be verified with Maxanet through DNS records. Unverified sender addresses are rejected by mailbox providers and cause bidders to stop receiving automated emails. How email shortcodes work and why they're category-specific

Email templates use shortcodes — merge fields surrounded by square brackets — to pull in dynamic content like the bidder's name, invoice number, company name, or login URL. Shortcodes are not compatible outside their category: for example, [Invoice number] only works inside templates in the Invoice System Emails category. Using a shortcode in the wrong category leaves the literal bracket text in the sent email. Always stick to the shortcodes listed for your template's category.

Common Email Template categories and the shortcodes they support

Admin Emails (sent to you, the admin):

  • Review Bidder Tax Exemption Form — [Name], [Bidder number], [Company Name]

  • Tenant password updated — [Name], [UserName], [Password], [Link for the webpage login], [Email], [Company Name]

  • Tenant access code — [Name], [AccessCode], [Email], [Company Name]

  • Bidder Registration: Duplicate Information Found — full bidder contact fields

Bidder and Consignor System Emails (sent to the bidder/consignor):

  • Bidder Failed Registration — [Name], [company name], [masked URL or direct link to registration form]

  • Bidder: Tax Exemption Request Expired — [Name], [Email], [Company Name]

  • Bidder Invoice: Payment Successful — [Name], [Invoice number], [Email], [Company Name]

Every template's Edit screen lists the exact shortcodes supported for that template. The list above is a reference — when editing a specific template, rely on the shortcodes shown on its Edit screen.

How to edit or disable a specific email template

To change the subject line or body of an automated email, click Edit on its row in the Email Templates list. Make your edits using the rich-text editor and shortcodes listed on the edit screen, then save. To completely stop a template from sending, click the Mark Inactive / Disable action on its row — Maxanet will skip that automated email from that point forward until you re-enable it.

Common questions

Why are some of my automated emails not reaching bidders?

Most commonly because the From Email address on your templates is not domain-verified. Complete the DNS verification process (see Domain Based Email Verification) and make sure every template's From Email uses your verified domain.

Can I use shortcodes across different template categories?

No. Shortcodes are category-specific. [Invoice number] only works in Invoice System Emails; using it in Admin Emails leaves the literal bracket text in the sent email.

How do I disable a template without deleting it?

Use the Mark Inactive / Disable action on the template's row in Email Templates. The template is preserved but stops sending until re-enabled.

Can I create my own custom email templates?

Yes. The Custom Email category lets you create reusable templates for bulk emails to your Contacts list. See the Custom Email Template article for how.

What email address should I use as the From on my templates?

A domain-based email address on a domain you've verified with Maxanet via DNS records. Free addresses like Gmail or Yahoo will not work for automated sending.
