How to sync your calendar data with Mbrella?

Import your calendar data to manage in-office days

At Mbrella, we're committed to making your mobility management as integrated and seamless as possible with your existing HR tools. That's why our calendar feature allows you to import your calendar data directly into Mbrella. This ensures that commuting allowances are only paid for actual office attendance days, aligning perfectly with your day-to-day operations and keeping your allowances in check.

Here’s why you’ll love this update:

  • No more guesswork: import non-office days like holidays, sick leaves, or any other absences into Mbrella. If they're not at the office, they're not on your dime for commutes.

  • Fraud prevention: With automatic disabling of non-office days in the Commute Planner, there’s no chance of accidental or fraudulent km claims. Already created trips will get automatically deleted as well.

  • Effortless import: Just export your calendar file from your time registration tool, put it in our template format and upload it to Mbrella. In seconds, watch your calendar align with real employee presence. Or automate the import via our SFTP server.

How it works

You can import calendar data in two ways:

  1. Set up recurring uploads to our SFTP server

  2. Use the Import Calendar button on Mbrella Web

💡 Tip: While we also offer a Public API for user synchronization, this file import method provides a convenient alternative.

  1. Supported event types (in priority order) ❗

    1. IN_OFFICE (calendar open)

    2. HOMEWORKING (accepts home working allowance)

    3. WEEKEND (calendar closed)

    4. PUBLIC_HOLIDAY (calendar closed)

    5. DAY_OFF (calendar closed)

    6. NOT_IN_OFFICE (calendar closed)

Important things to know

  • Full-day events only

  • You control which days to import (both in-office and not-in-office)

  • No period limitations - import any timeframe

  • Only dates included in your file will be processed

  • Multiple events on the same day? System follows the priority order above

  • Calendar events override existing registrations ❗

    • Example: A bike trip registered on a newly marked not-in-office day will be automatically deleted

How to get started

  1. Prepare your file:

    • Follow our template format

    • Include relevant event types

    • Provide your time registration codes to Mbrella

  2. Choose your import method:

    • SFTP: For automatic recurring uploads

    • Manual: Via the Import Calendar button (Note: Button visibility depends on your account plan)

      • Homepage>Employees>Add Employees>Import Calendar
