MedcoVet policy for in-clinic Luma demo units: eligibility, usage rules, auto-refill program, and support resources.

Introduction

This document outlines MedcoVet's policy for the allocation and use of in-clinic demo units for the Luma device. This policy ensures the efficient use of resources and maintains the highest level of service for all our partners.

Policy Overview

Case Threshold Eligibility

  1. Eligibility Criteria:

    • Clinics will be eligible to request an in-clinic demo unit after prescribing 10 cases.

    • Once the threshold is met, clinics may request additional in-clinic units based on their needs.

  2. Prescribing Requirements:

    • Clinics must prescribe at least 2 cases per month for each in-clinic unit they possess.

    • If the threshold is not met for two consecutive months, MedcoVet will require the return of the in-clinic units.

Perpetual Rental Option

  1. Smaller Clinics:

    Clinics that may not be able to reach the required number of cases can opt to perpetually rent an in-clinic Luma for $35 per week. Please note, that this rental agreement does not allow for the eventual ownership of the device. Here are the key reasons why clinics cannot purchase or own the Luma devices:

    Partnership Terms: The in-clinic demo unit is only available to clinics that actively participate in our partnership program. If a clinic decides to exit the program or if the partnership is terminated for any reason, we require the Luma device to be returned. This ensures that all devices remain within our ecosystem and can be reallocated as necessary. Hence, ownership is not possible.

    Device Updates and Maintenance: We aim to provide clinics with the most up-to-date and fully functional devices. Ownership would limit our ability to perform necessary updates or replace devices that may malfunction. Under our rental program, we ensure that all units are maintained to the highest standards, with regular updates and replacements as needed.

Application for Demo Unit

  1. Applications:

    Clinics can apply for a demo unit. This opportunity allows clinics to receive an in-clinic demo unit for free if they demonstrate their knowledge of at-home laser therapy in a way that MedcoVet can learn from.

    Examples of this include partnering for research or having a unique opportunity for treatment (eg. wolf sanctuary).

Rules for the use of In-Clinic Demo Units

  1. Ownership and Recall:

    • In-clinic demo units remain the property of MedcoVet and can be requested back at any time if needed for pet parents.

  2. Usage Restrictions:

    • Demo units are to be used solely for demonstration purposes to pet parents who are being prescribed the Luma.

    • They are not to be used as small in-clinic lasers, and clinics are not permitted to charge clients per session for their use.

    • Demo units cannot be given to clients without creating a treatment case on the portal.

    • They are not to be used on your own pets or given to friends and family members.

Auto-Refill Program

  1. Program Overview:

    • Clinics with demo units can choose to be on the auto-refill program.

  2. Eligibility Criteria:

    • Clinics must meet the minimum monthly case requirement (2 cases per demo unit) to be eligible for the auto-refill program.

  3. Program Benefits:

    • When a clinic rents out their demo unit, they will automatically be sent a new one, provided they are meeting the minimum monthly case requirement.

Support and Resources

  1. Educational Support:

    • MedcoVet will provide comprehensive resources to help clinics understand and communicate the benefits of Luma therapy to pet parents.

  2. Materials:

    • Clinics can request brochures or posters or continuing education.
