How to Use Join Codes to Add Workers to Your Jobsites and Teams

Join codes and QR codes in MindForge make it easy to onboard your field crew—no spreadsheets, no manual entry, just a simple scan.

What Is a Join Code?

A join code is a unique code, usually embedded in a QR format, that allows field workers to quickly and easily join a MindForge jobsite or team using their smartphone.

Once scanned, the QR code either:

  • Opens the MindForge app (if already installed), or

  • Takes people to the App Store (iOS or Google Play) to download the app and then prompts them to register a MindForge profile.

After registering their MindForge profile, the smart QR code automatically places them in the appropriate jobsite or team. No extra steps, no manual searching.


How to Download Join Instructions

You can generate and download these codes directly from the MindForge dashboard. Here’s how:

1. From the Jobsite List Page

  • Navigate to the Jobsites tab.

  • From the list of Jobsites, locate the one you want.

  • Click Download join instructions.

2. From the Jobsite Page

  • Click into the Jobsite.

  • On the Jobsite overview page, click Download Join Instructions.

3. From the Teams Tab

  • Navigate to the Teams tab.

  • Select the specific team you want to invite people to.

  • Click Download Join Instructions.

Jobsite Join Code

People see a list of all companies and teams available on the Jobsite and choose the one they want to join.

Best for general onboarding across trades or subcontractors.

Team Join Code

The user is automatically added to a specific team.

Best for focused team invites (e.g., Safety Crew, Foremen, etc).

When using a Jobsite join code, people can choose multiple teams to join, but team-specific codes assign People to only that team.


Roles: Members vs. Managers

When downloading join instructions, you can specify the role the QR code will assign:

  • Members Only: The user joins as a team member and can receive info, but cannot manage the team.

  • Managers Only: User joins as a team manager.

  • Both Members and Managers: This option will download a copy of the Members Only and the Managers Only Join Instructions. The Team Manager Only is clearly marked at the top for Team Managers Only.


What Happens After You Download?

You’ll receive a PDF containing:

  • A QR code that People can scan.

  • A text join code that can be typed manually if needed.

  • A label indicating whether it's a Jobsite or team join code.

  • The name of the Jobsite or team (e.g., “Benfair Emporium Project”).

Tip: Print this PDF and post it on-site or hand it out to new workers during orientation.


Best Practices

  • Print and Post: Place join codes at check-in points, trailers, or break areas.

  • Keep Digital Copies Handy: Have supervisors carry them on their phones or tablets.

  • Refresh Often: Re-download if your teams change or project structures evolve.

  • Train Your Foremen: Let leaders know how join codes work and when to use them.
