How to Use Join Codes to Add Workers to Your MindForge Organization and Teams

This article explains how Join Codes enables new employees to join the right Org teams quickly without requiring manual setup.

What Is an Organization Join Code?

A MindForge Organization Join Code is a smart QR code you can generate, print, and share with anyone you want to add to your organization or one of its organization-level teams.

When a user scans the QR code:

  • If they already have the MindForge app, it opens and auto-joins them to your organization or team.

  • If they don’t have the app, they’re taken to the iOS App Store or Google Play Store to download it and create a profile.

  • After creating a profile, the system automatically places them in the correct organization or team.

It’s fast and eliminates manual onboarding.


How Is This Different from jobsite Join Codes?

While both types of join codes simplify onboarding, they serve different purposes:

Key Insight:

Jobsite join codes do not add users to your organization’s Employee list. They are scoped to jobsites and jobsite teams only.

On the other hand, organization join codes add users to your organization, making them visible in your employee list. This is typically reserved for employees, internal managers, and trusted partners.


How to Download Organization Join Instructions

You can download the join instructions for either:

  • Your entire organization

  • A specific organization team

To Download an Organization Join Code:

  1. Log in to MindForge.

  2. Click Dashboard on the left-hand menu.

  3. Click Download Join Instructions.

You’ll then choose from the following options:

Members Only

Adds the user as a basic member who can view content but cannot manage the organization.

Managers Only

Adds the user as a manager with permissions to manage the org team.

Both Members and Managers

Allows the user to choose whether to join as a member or a manager.

After selecting an option, a PDF file will download containing the QR code and backup alphanumeric code. You can print it out or distribute it digitally.


To Download a Team-Level Join Code:

  1. Go to the Teams tab in the dashboard (these are your organization’s teams).

  2. Click on the team you want.

  3. Select Download Join Instructions.

  4. Choose between:

    • Members Only

    • Managers Only

    • Both Members and Managers

Once downloaded, share the PDF so that workers can scan the code and join that specific team.


Why Use Team Join Codes?

Team join codes are especially useful when you want to:

  • Onboard users into specific groups such as Safety, Orientation, or Equipment-specific teams.

  • Assign training automatically to new users as they join.

  • Provide targeted access and communication pathways within your organization.


What’s in the PDF?

Each Join Instructions PDF includes:

  • A QR Code for easy scanning.

  • A backup alphanumeric code to enter manually if needed.

  • The name of your organization or team.

  • Clear role labeling (Member, Manager, or Both).
