How to Structure Your Organization in MindForge: A Comprehensive Guide

When implementing MindForge across your jobsites and internal teams, understanding how to structure your organization within the platform is essential. Ensuring your portal has the proper structure will enhance your ability to communicate, train, and track data effectively in the long run.

In this guide, we’ll walk you through the basics of setting up your organization in MindForge using two primary features: Jobsites and Teams.

Understanding the Core Features: Jobsites and Teams

MindForge offers two tools to help you structure your organization:

  1. Jobsites

  2. Teams

While both are crucial, there are some key differences and important considerations to keep in mind when building your company structure.

Key Points to Remember:

  • Jobsite Teams and Jobsite Members: When a person joins a Jobsite Team, they are automatically added to the members list for that jobsite.

  • Employee List vs. Jobsite Members: Adding a person to a Jobsite or Jobsite Team does not automatically add them to the employee list.

  • Employee List and Organization Teams: When a person joins an Organization Team, they are automatically added to the organization’s employee list and are now available to add to any Jobsite or Jobsite Team.

Jobsites Feature

The Jobsites feature in MindForge is designed to support specific project locations and/or groups. It allows you to effectively communicate with and train everyone on a job site. Within each Jobsite, you can create Jobsite Teams to further organize your workforce.

Common use cases for Jobsite Teams:

  • Subcontractors by company name

  • Project leaders or Foremen Team

  • Safety teams

Organization Teams Feature

The Organization Teams feature allows you to structure your internal employees into groups, such as:

  • Office staff

  • Supervisors

  • Self-perform trades or field employees

  • New employees

Best Practices: Utilizing the Jobsites Feature for Internal Employees

Even for internal employees, using the Jobsites feature can add a layer of organization to your structure. Jobsites can be organized by division, region, or office location, with each team representing a specific crew. This setup allows for more controlled management of the groups and targeted communication and training, which can optimize productivity and efficiency across your organization.
