Control Hall Pass Restrictions and Overrides Effectively

Learn how to manage denied passes and override system restrictions

Managing hall pass usage requires a balance between automated rules and teacher discretion. This article will help you maintain hallway safety by teaching you how to monitor denied pass requests and manage system overrides. This guide will walk you through viewing denial reports, understanding restriction codes, and issuing passes when a manual override is necessary. By the end, you’ll be able to confidently manage student movement even during restricted periods.

Monitor Denied Pass Requests

Sometimes, a student might try to create a hall pass when they’re not supposed to, like during a blackout period or if they’re in a no-party group. When this happens, the system will log the denied request so you can keep track of it.

Step-by-step Guide to Managing Denied Passes

  1. Student Requests a Pass: The request will show up on your MyClass dashboard or Hall Pass dashboard as "Pending."

  2. Denying the Request: If the request is against the rules, you can deny it right from your MyClass dashboard or the Hall Pass dashboard. The student will see the denial in real-time.

  3. Checking the History: The denial is immediately recorded in the Hall Pass History Report, where you can see:

    • Who denied the pass

    • The reason for the denial (like a blackout period or no-party group)

    • The date and time of the denial

Review Hall Pass History Reports

The denied request is recorded in the Hall Pass Reports tab under the Hall Pass History Report.

Step-by-Step Guide to Viewing Denial Reports

  1. Navigate to Hall Passes and then click on the Reports tab.

  2. Select the Hall Pass History Report from the available list.

  3. Use the Status filter to select Denied or Restricted.

  4. Review the report columns to identify:
Who denied the pass: Whether it was a specific Staff member or an automated rule like a Blackout Window.
Reason for denial: The specific restriction triggered (e.g., Exceeded max active passes).
Date and Time: Exactly when the attempt occurred.

  5. You can also view these details by navigating to the Students Report or Staff Report for individual activity logs.

How to Override System Restrictions

Teachers have the ability to override restrictions if necessary. For example, if a pass should be issued despite a restriction, the teacher can override it.

Step-by-Step Guide to Overriding Restrictions

  1. Click the Assign Pass button on your dashboard.

  2. Select the Student and the Pass Type.

  3. If a restriction is active (like a No-Party Group), a warning may appear, but you can still choose to Approve or Assign.

  4. Click Confirm to finalize the pass.

  5. The system will record this pass as Overridden, ensuring the original restriction reason is still saved in the history for accountability.

Additional Features or Settings

You can refine your reports using specific status and "Denied by" filters to get a clearer picture of hallway traffic.

Denial Reason Filters

Description: Use these filters in the Reports tab to narrow down why students are being blocked. This helps identify if specific rules (like Min Wait Period) are too strict or if certain students are frequently hitting their Max Passes limit.

The Denied By filters are:

  • User

  • Blackout window

  • No party group

  • No pass party

  • Max active passes

  • Max simultaneous pass type

  • Student List restriction

  • Wait time between passes

  • Active hall pass

  • Max daily total passes

Important: When you override a restriction, the pass is logged as "Approved," but the History Report will still show the original restriction that was bypassed

Troubleshooting

Issue: The "Restricted" status isn't showing up in my reports.

Solution:

  1. Go to the Reports tab.

  2. Click on the Status dropdown menu.

  3. Ensure the Restricted checkbox is selected. This status only appears when a pass has been specifically blocked by a system rule.

Issue: I tried to override a pass but the "Assign Pass" button is greyed out. Solution:

  1. Check your Permission Level to ensure you have the "Staff" or "Admin" role assigned.

  2. Refresh your browser page to ensure you are viewing the most recent session data.

  3. If the issue persists, contact your school's Minga Admin to verify your override privileges.
