How the Hall Pass Workflow works in your Classroom

Minga's best practice for Hall Passes is to use a student-led, automatic ending hall pass workflow. This is how it looks in action:

Step-by-Step Student Led Hall Pass Workflow

  1. The student will ask you for permission to go to the bathroom.

  2. You will give permission and tell the student to create their hall pass.

  3. The student creates their hall pass and assigns you to their hall pass. You will be able to see the hall pass pop up immediately in your personalized dashboard.

  4. The student will turn around their device to show they have created it.

  5. The student leaves and goes to the bathroom. There is no reason to bring their device with them.

How to Monitor Active Passes

MyClass Dashboard Method (Best Practice)

The My Class view provides a focused look at your specific students, allowing you to quickly see who is out of the room without leaving your primary roster.

In MyClass, students with active passes will show under Active Hall Pass heading.

Step-by-step Guide to Managing Passes in My Class

  1. Navigate to the My Class tab on your main sidebar.

  2. Click on the User List dropdown menu and select your current class period.

  3. Locate the Active Hall Pass section at the top of your dashboard.

    ○ Students with an active pass will display a Walking Icon next to their name. ○ A live timer will count down until it reaches zero, at which point the pass ends automatically.

  4. To end a hall pass early:

    a. Click the End button directly on the student’s pass tile.

    b. Alternatively, click the Student Profile and select End Pass from their ID view.

Hall Pass Dashboard Method

The Hall Pass Dashboard allows you to review the history of all passes assigned to you throughout the day, which is essential for identifying students who did not return on time.

This is a great option for teachers and staff who do not have class rosters or user lists, or staff who need insight into the entire school population.

Step-by-step Guide to Managing Passes in the Hall Pass Dashboard

  1. Click on the Hall Pass icon in the sidebar and select Dashboard.

  2. Select the My Passes tab to filter for only those students assigned to you.

  3. Click the Status dropdown menu and select Ended.

    ○ This view displays all expired passes, including those that ended automatically when the timer hit zero.

  4. Review the Start Time and End Time columns to see exactly how long the student was out of class.

    ○ If the data shows a student overstayed their pass, you can then proceed with your school's standard disciplinary actions.

FAQs

How do I see which students had their hall pass automatically end?

You can see which students had their hall pass automatically end by navigating to the Hall Pass Dashboard, selecting My Passes, and filtering the status to Ended. This will show you a list of all expired passes for the day, allowing you to compare start and end times to see if a student stayed out too long.

Or you can hover over the hall pass icon on their student tile in MyClass to see when their pass expired.

Can I end a student's hall pass if they return before the timer hits zero?

Yes, you can end a student's hall pass manually by clicking the End button on their pass tile within the My Class dashboard or the Hall Pass Dashboard. This ensures your dashboard accurately reflects who is currently in the room.

What happens when the hall pass timer reaches zero?

When the hall pass timer reaches zero, the pass will automatically transition to an Ended status and disappear from your Active Hall Pass section. If the student has not yet returned to the classroom, this serves as a visual indicator that they have overstayed their allotted time.

Troubleshooting

Issue: A student says their pass ended, but they are still out of the room.

Solution: This happens when the timer set for the hall pass reaches zero before the student returns. Navigate to the Hall Pass Dashboard, filter for Ended passes, and locate the student's name. You can see the exact time the pass expired. If your school policy allows, you can ask the student to create a new pass or manually check them back in upon their return to account for the time.

Issue: The student is back in class, but the "Walking Icon" is still showing in My Class.

Solution: This happens when the student has returned to class before their hall pass has expired or before it has been manually ended.

If the icon still appears after the hall pass has been ended manually, refresh your browser which should correct the visual error.
