Trip Rules

Formerly known as "Dynamic Pricing"

Trip Rules (formerly known as Dynamic Pricing) enable you to automatically increase or decrease your base rate based on the following. Trip Rules ensure fair and optimized pricing for both operators and customers by applying surcharges or discounts during predefined time periods or under specific conditions, such as late-night hours or holidays.

  • Anytime

  • A Specific Date

  • A Date Range

  • A Time of Day

NOTE: Base Rate Automation in the Vehicle Pricing Tab and Display on Customer Portal in the Customer Portal settings Tab must be enabled to utilize this feature. Ensure you navigate to Settings > Trip Rules within the Operator app to set up these rules.

Anytime Trip Rules

This option allows you to create a Trip Rule that is always active, regardless of date or time. This is useful when you want a rule to apply to all matching trips without needing to configure specific dates or time ranges.

To enable an Anytime Trip Rule:

  1. Start by navigating to Settings > Trip Rules and clicking Create Trip Rule.

  2. When asked when the rule should apply, select Anytime, and then click Next.

  3. Choose whether you want this rule to adjust pricing:

    • Turn on Skip pricing if you do not want to change the price and only want to add notes or restrict vehicles.

    • Otherwise, select Increase or Decrease, choose whether the change should be a $ amount or a % adjustment, and enter the amount you’d like to apply. Then click Next.

  4. Using the vehicle dropdown, select the vehicles you’d like this Trip Rule to apply to. You can choose All Vehicles or select specific vehicles from your fleet. Then click Next.

  5. Choose where you’d like this rule to apply:

    • Select All locations if the rule should apply everywhere.

    • Select Only within custom zone if you want the rule to apply only in certain geographic areas. If you choose a custom zone, you can also specify whether the rule applies when the pickup is in the zone, dropoff is in the zone, both pickup and dropoff are in the zone, or pickup or dropoff is in the zone.
      In this step, you can also optionally add a Driver note, a Trip note, and toggle Restrict vehicles if you want to prevent certain vehicles from being booked when this rule matches. Then click Next.

  6. If you selected Only within custom zone, use the map to draw your zone. Search for a location, then click on the map to draw a polygon around the area you want. Close the shape to finalize the zone, and repeat if you need additional zones. When you’re finished, click Next.

  7. Review the overview of your Trip Rule, including its name, when it applies (Anytime), the vehicles it affects, any pricing adjustments, and any zones you configured. When everything looks correct, click Activate.

Your Anytime Trip Rule will now automatically apply to any trip that matches the conditions you configured.

Common use cases for Anytime rules

- Airport surcharge — Increase pricing by $10 for any trip with a pickup or dropoff in an airport zone.

- Premium area markup — Add a 20% increase for trips in a high-demand zone.

- Fleet-wide note — Skip pricing and add a driver note like "Check tire pressure before trip" to all trips.

- Vehicle restriction by zone — Restrict certain vehicles from being booked for trips in a specific area.

Adjust Base Rate for a Specific Date

This option allows you to increase or decrease your base rate for a specific date. For example, you may want to increase your prices for specific holidays like the 4th of July, Thanksgiving, or New Year’s Eve.

To enable this Trip Rule:

  1. Start by clicking on Adjust Base Rate for a Specific Date and then click Next.

  2. Select the date you’d like to create the rule for, and then click Next.

  3. Select whether you’d like to increase or decrease your base rate, then select whether you’d like to increase or decrease your base rate by a dollar or percentage amount, and finally, enter the amount you’d like to increase or decrease it by. Once that has been completed, click Next.

  4. Using the dropdown menu, select the vehicles you’d like your Trip Rule to take effect on. Then click Next.

  5. Decide whether you’d like this rule to repeat or not. Then click Next.

  6. Finally, review your newly created rule and then click Activate.

Your pricing rule will now take effect whenever a customer books your selected vehicles on the date you selected.

Adjust Base Rate for a Specific Date Range

This option allows you to increase or decrease your base rate for a specific date range. For example, you may want to increase your prices for things such as prom season or an annually occurring convention.

To enable this Trip Rule:

  1. Start by clicking on Adjust Base Rate for a Specific Date Range and then click Next.

  2. Select the date range you’d like to create the rule for as well as what specific days within that range you’d like this rule to apply to, and then click Next.

  3. Select whether you’d like to increase or decrease your base rate, then select whether you’d like to increase or decrease your base rate by a dollar or percentage amount, and finally, enter the amount you’d like to increase or decrease it by. Once that has been completed, click Next.

  4. Using the dropdown menu, select the vehicles you’d like your Trip Rule to take effect on. Then click Next.

  5. Decide whether you’d like this rule to repeat or not. Then click Next.

  6. Finally, review your newly created rule and then click Activate.

Your pricing rule will now take effect whenever a customer books your selected vehicles within the date range you selected.

Adjust Base Rate for Time of Day

This option allows you to increase or decrease your base rate for a time of day. For example, you may want to increase your prices for reservations where the pick-up time is past 8:00 PM.

To enable this Trip Rule:

  1. Start by clicking on Adjust Base Rate for Time of Day and then click Next.

  2. Select the time frame you’d like to create the rule for as well as what specific days you’d like this rule to apply to, and then click Next.*

  3. Select whether you’d like to increase or decrease your base rate, then select whether you’d like to increase or decrease your base rate by a dollar or percentage amount, and finally, enter the amount you’d like to increase or decrease it by. Once that has been completed, click Next.

  4. Using the dropdown menu, select the vehicles you’d like your Trip Rule to take effect on. Then click Next.

  5. Finally, review your newly created rule and then click Activate.

Your pricing rule will now take effect whenever a customer books your selected vehicles within the time frame you selected.

NOTE: In order to create a time frame that crosses midnight, you will need to create two separate Trip Rules. For example, let’s say you want to increase your pricing for any reservation where the pick-up time falls between 8:00 PM and 6:00 AM. To do this, you will need to create one rule for 8:00 PM to 11:59 PM and another rule for 12:00 AM – 6:00 AM. If you have any questions, please reach out. The same rule applies if you are creating a Trip Rule that crosses years. You will need to create one rule for 11/01/2025 to 12/31/2025 and another rule for 01/01/2026 to 04/01/2026.

Best Practices for Using Trip Rules

  • Regular Updates: Ensure that your Trip Rules are aligned with current events and market demands.

  • Testing Rules: Before implementation, conduct test bookings to confirm accurate pricing adjustments.

  • Documentation: Keep detailed records of Trip Rules to manage customer inquiries effectively.

How to Verify Trip Rules Have Been Applied

After setting up your Trip Rules, you can verify if they were applied to a specific reservation by following these steps:

  1. Open the Reservation
    Navigate to the specific reservation details within the Operator app.

  2. View Fare Details
    Click the Price button in the reservation details.
    Then, select the Fare Breakdown or equivalent option to view a detailed calculation.

  3. Confirm Application of Trip Rules
    In the fare breakdown summary, check for the applied Trip Rules surcharges or adjustments to ensure your rule is reflected.
