Vehicle Customer Portal Settings

Control how each vehicle appears and behaves in the Customer Portal — visibility, pricing display, reservation requests, and conflict blocking.

Each vehicle has its own Customer Portal Settings tab where you can control exactly how it appears and behaves when customers book online.

To access: Vehicles → click a vehicle → Customer Portal Settings tab


Display on Customer Portal

Controls whether this vehicle is visible to customers in the Customer Portal.

  • On — vehicle appears in the portal and customers can select it when booking

  • Off — vehicle is hidden from customers in the portal. You can still assign it to reservations manually from the operator side

Use this to hide vehicles that are out of commission, reserved for specific clients, or not yet ready for online booking — without deleting them from your fleet.


Enable Base Rate Automation on Customer Portal

Controls whether a price is shown to customers and whether they can complete the booking without requesting a quote.

  • On — the vehicle's price is displayed and customers can book directly

  • Off — the price is hidden and customers see a "Request for pricing" option instead, which sends you a quote request to follow up on

This setting requires Base Rate Automation to be configured for the vehicle under the Pricing tab.


Enable Reservation Requests on Customer Portal

When enabled, customers can request this vehicle even without a price defined upfront. No charges are automatically applied — you review and accept or decline the reservation from the Reservations tab.

You can also choose who can access this feature: all customers, or only specific clients.


Block Quote Requests on Trip Conflict

When enabled, customers cannot submit a quote request for this vehicle if there is already a trip scheduled that conflicts with their requested time. Instead, they are prompted to choose a different vehicle, update their pickup time, or contact you directly.

Requires a plan upgrade to access.


Block Reservations on Trip Conflict

When enabled, customers cannot complete a reservation for this vehicle if there is a conflicting trip already on the schedule. They are prompted to choose a different vehicle, adjust their pickup time, or reach out directly.
