Create your first template in Motics

How to create a personal or organisation template using Prompt, Form, or Document mode.

Quick answer

Open Templates, click Create Template, give the template a clear name, choose a category, add content in Prompt, Form, or Document, then click Save.

Create a template

  1. Open Templates from the Motics sidebar.

  2. Click Create Template.

  3. Enter a template name, such as MSK Initial Assessment, Follow-up SOAP Note, or GP Referral Letter.

  4. Choose the category, such as Clinical Note, Letter, or Meeting Note.

  5. Add your template content using one or more of the tabs below.

  6. Click Save.

Choose the right template mode

  • Prompt: best when you want Motics to generate the whole note from written instructions.

  • Form: best when you want named sections with specific instructions, variables, checkboxes, or radio options.

  • Document: best when you want Motics to populate a DOCX document layout using variables.

You can use more than one mode, but keep the design simple. If you use both Prompt and Form content, the generated summary will include the structured Form sections followed by the Prompt response. If that is not what you want, create separate templates.

Personal vs organisation templates

If you have permission, you can choose whether the template is personal or organisation-wide.

  • Personal Template: only you can access it.

  • Organisation Template: members of your organisation can access it, depending on role permissions.

Do I need to use Optimise with AI?

No. You can type or edit a template directly and save it. Optimise with AI is optional. Use it when you want Motics to improve a rough draft, but you do not need to click it after every manual change.

Test the template

After saving, test the template on a real or representative session. If you are testing against an old session, open the session in History, click Regenerate, choose the new template, and review the result.

If the template does not appear

  • Refresh the Templates page.

  • Check whether you saved it as personal or organisation-wide.

  • Check the template category.

  • If it is an organisation template, check that your role can view or edit organisation templates.
