Reviewing and Approving Instant Count Plans

How supervisors review, filter, and approve inventory updates for Instant Count plans on the web Count Plan screen.

Overview

When a warehouse operator finishes an Instant Count session, the resulting Count Plan is immediately available on the web Count Plan screen for supervisor review. Logiwa IO identifies Instant Count plans with a Count Type of Instant, so supervisors can quickly filter and manage them separately from scheduled Cycle Count plans. The post-count review and inventory update workflow is the same as for Cycle Count plans.

When to Use It

Use this workflow when:

  • An operator has completed an Instant Count session and you need to review the results.

  • You want to approve inventory updates for one or more Instant Count plans.

  • You need to identify which operator initiated a specific Instant Count.

  • You want to manage a discrepancy found in an Instant Count plan.

Prerequisites

  • Your user account must have supervisor or manager access to the Count Plan screen.

  • The operator must have completed and finalized their Instant Count session before it is ready for review.

Step-by-Step Instructions

Finding Instant Count Plans

  1. Navigate to Count > Count Plans.

  2. In the filter bar, locate the Count Plan Operation Type filter and select Instant Count.

    • The list updates to show only Instant Count plans.

    • To view all plans together, remove the filter or select both cycle and instant count.

  3. Use the Created By column to identify which operator initiated each Instant Count plan.

Reviewing Count Results

  1. Click on an Instant Count plan to open the Count Location Details screen.

  2. Review the count tasks and their results.

    • Task lines with Cancelled status are displayed with a Cancelled indicator. These represent locations the operator either cancelled or not finalized during the session. They are not included in any inventory update calculation.

    • Only lines with Count Completed status are included when inventory is updated.

  3. Review the Created By field in the plan header to confirm the initiating operator.

Updating Inventory

  1. To apply inventory updates for a location, use the existing Update Inventory action on the Count Plan screen — the same process as for Cycle Count plans.

  2. Confirm: the relevant count lines move to Inventory Updated status.

Managing Discrepancies

⚠️ Important: Recount jobs are not available for Instant Count plans. The Create Recount action does not appear on Instant Count plan lines.

To address a discrepancy on an Instant Count plan, use one of these approaches:

  • Cancel the Count Plan line on the web Count Plan screen, then ask the operator to initiate a new Instant Count session for that location.

  • Create a standard Cycle Count plan for the affected location.

  • Adjust inventory directly using the existing manual inventory adjustment workflow.

Common Questions & Edge Cases

Why don't I see a Create Recount button on an Instant Count plan line?
Recount job creation is not available for Instant Count plans by product design. To address a discrepancy, cancel the Count Plan line and initiate a new Instant Count session, create a Cycle Count plan for the location, or apply a manual inventory adjustment.

Can I add or remove locations from an Instant Count plan on the web screen?
No. Add Location and Remove Location actions are not available for Instant Count plans. Locations are managed by the operator directly from the mobile session.

What does it mean when a Count Plan line shows Cancelled status?
The operator cancelled or not completed the count for that location in their session. The cancelled lines are kept for audit trail purposes but are excluded from all inventory update calculations.

Can multiple operators contribute to the same Instant Count plan?
No. Each Instant Count session and its Count Plan are tied to the single operator who initiated it. Operators working in the same area will each have their own Count Plan.

An operator says their session disappeared from Active Sessions. What happened?
A session is removed from Active Sessions when the operator explicitly taps Finish Instant Count. The Count Plan remains visible on the web Count Plan screen. If the operator did not intend to finalize, ask them to start a new session for any remaining locations.
