Overview
Instant Count lets warehouse operators begin counting any eligible location immediately by scanning its barcode — without waiting for a supervisor to create a Count Plan or Count Job first. Logiwa IO creates the Count Plan and assigns a Count Job automatically in the background when you scan your first location. The results are immediately available to supervisors on the web Count Plan screen for review and inventory update.
When to Use It
Use Instant Count when:
You notice a potential inventory discrepancy at a location during normal operations and need to count it right away.
You want to perform a quick, unscheduled spot count without waiting for a supervisor to set up a plan.
A supervisor has asked you to count a specific location ad hoc.
Prerequisites
Before you can use Instant Count:
A warehouse administrator must have configured an Instant Count Job Type for your warehouse (a one-time setup step). If this has not been done, you will see an error when you scan your first location.
Your user account must have the Instant Count permission enabled. Contact your system administrator if you do not see the Instant Count option in the Count module.
Step-by-Step Instructions
Starting a New Session
Open the Count module on your mobile device.
Tap Instant Count.
On the Instant Count Hub screen, tap New to initiate an instant count session.
On the location scan screen, scan or enter the barcode of the first location you want to count.
Tap Confirm Location.
Logiwa IO validates the location and automatically creates a Count Plan, Count Job, and count task. A Count Plan Code and Job Code appear in the context strip at the top of the screen.
If the location has inventory in an active outbound process (Picked, Packed, Sorted, or Loaded), the scan is blocked. Select a different location or wait until the outbound process is complete.
If no Instant Count Job Type is configured for your warehouse, you will see an error message. Contact your warehouse administrator.
You are navigated to the Count Methods screen for that location.
Counting a Location
From the Count Methods screen, review the Count Summary bar (Counted LP / Counted UOM QTY / Different SKU).
Select your count method:
Count Products on an LP — for items on an LP.
Count Products without LP — for loose items not on an LP.
Scan each product barcode and enter or confirm the quantity.
If your warehouse uses One-by-One Count mode, each scan increments the quantity by one. If not, enter the total quantity manually.
When all products in the location are recorded, click to Return Count Methods and then tap Complete Location Count.
While counting products in LPs, first click to "Complete LP Count" to finalize the counting of the scanned LPN.
Confirm the count summary on the sheet that appears, then tap Complete Location Count to confirm.
If your role includes inventory update permission, you can also tap Complete Loc. Count & Update Inv. to apply the inventory update immediately.
You are returned to the location scan screen to continue.
Counting Additional Locations
Scan the next location barcode and tap Confirm. Each additional location is added to the same Count Plan and Job — no new plan is created.
Repeat steps explained in the "Counting a Location" section above.
💡 Tip: You do not need to finish all locations in one session. You can leave the app and resume later — your session stays active until you explicitly finish it.
Resuming an Active Session
If you leave a session before finishing:
Open the Count module and tap Instant Count.
On the Instant Count Hub, tap Resume to see list of your active instant count sessions.
Find your session in the list (shown by Count Plan Code, Job Code, and locations counted) and tap it.
You return to the location scan screen with your full session context restored. Continue scanning locations.
Re-Scanning a Previously Visited Location
If you scan a location you have already visited in the same session, the system handles it as follows:
Previous Status | What Happens |
Count in progress (not yet completed) | Your existing count data is resumed. No duplicate task is created. |
Count Completed | You are offered the option to reset and recount the location. |
Previously cancelled in this session | Cancelled locations cannot be recounted in the same count plan, create a new instant count to proceed. |
Inventory already updated | Re-scan is blocked. Contact your supervisor. |
Cancelling a Single Location Count
To discard the count for one location without ending the session:
On the Count Options screen, tap Cancel Location Count.
Read the warning sheet, then tap Confirm Cancel Location.
All count data for that location is discarded and the location is unlocked.
If this was the only active location in your session, the entire Count Plan is automatically cancelled and you return to the Instant Count Hub.
If other locations remain active, your session continues.
⚠️ Note: Cancelled locations cannot be recounted in the same count plan. A new instant count can be created to count cancelled locations in another instant count plan.
Cancelling the Entire Session
To cancel your entire Instant Count session:
From the location scan screen under Count Options (3 dots), tap Cancel Instant Count.
Tap Confirm Cancel Session on the warning sheet.
⚠️ Important: If any location in your session has already had its inventory updated, cancellation is blocked. You will see a message directing you to contact your supervisor, who can manage the plan from the web Count Plan screen.
Finishing Your Session
When you have counted all locations and are ready to submit:
From the location scan screen, tap Complete Instant Count.
Review the confirmation sheet, then tap Confirm & Complete.
The Count Successful screen confirms your session is complete.
Your Count Plan is now available to your supervisor for review and inventory update.
Tap Instant Count Page to start a new session, or Home Page to return to the main menu.
⚠️ Note: Your session does not close automatically when all locations are counted. You must tap Finish Instant Count to submit it. This allows you to add more locations at any time before finishing.
If you have any incomplete location counts in the session (i.e complete location count is not clicked), these location counts will be automatically have cancelled status when Finish Instant Count is clicked.

Common Questions & Edge Cases
What if I do not see the Instant Count option in the Count module?
Your user account may not have the required permission, or no Instant Count Job Type has been configured for your warehouse. Contact your warehouse administrator.
Can more than one operator share the same Instant Count session?
No. Each session is tied to the operator who started it. If two operators are counting in the same area, each will have their own Count Plan.
What happens if I close the app mid-session?
Your session remains active. Open the Count module, tap Instant Count, and resume from Your Active Sessions. No counted data is lost.
Can I count a location that already has a Cycle Count plan assigned?
Yes. Logiwa IO does not prevent multiple count plans for the same location. Your supervisor will see both plans on the Count Plan screen and can manage any conflicts.
Why is my Count Plan still showing in Active Sessions after I counted all locations?
Your session stays active until you explicitly tap Finish Instant Count. This is by design — it allows you to add more locations before closing.
