Magento Integration

Logiwa streamlines your business management with our user-friendly self-onboarding process for sales channels. This article walks you through the available functions and setup of your Magento sales channel.

Available Functions

  • Download Orders: Automatically imports Magento orders into Logiwa for fulfillment.

  • Download Products: Imports your Magento product catalog into Logiwa so SKUs exist for fulfillment.

  • Sync Inventory: Automatically sends sellable inventory quantities from Logiwa to Magento.

  • Send Shipment Information: Sends shipment details and tracking numbers back to Magento once an order ships from Logiwa.


Connect to Magento

  1. Navigate to Integration Management > Store & Marketplace and select Magento Integration. The Connect Magento Integration pop-up will appear.

  2. Fill in Magento Store Name, Client, Warehouse, Shipment Order Type, Product UOM, and Contact Email, then click Continue.

Description

Magento Store Name

The name of your Magento connection in Logiwa.

Client

The client entity transactions will belong to.

Warehouse

The warehouse linked to this connection. The source of inventory synchronization.

Shipment Order Type

The order type used when creating shipment orders in Logiwa.

Product UOM

The unit of measure used during product download. Must match across Magento and Logiwa for orders to sync successfully.

Contact Email

The address that receives integration notifications, status updates, and errors.

Magento Store URL

The public HTTPS base URL of your target Magento store.

Magento Store Code

The specific store view code in Magento used for API transactions.

  1. On the feature-selection screen, toggle on the flows you want, then click Continue.

  2. Configure workflow options for each enabled flow. Enter your credentials for Send Shipment Information and Sync Inventory, or toggle Allow Product Creation for Download Products. Click Install.

Magento API Credentials

Dedicated Magento API user credentials (username and password) assigned to a role with full permissions for orders, products, inventory, and shipments. Logiwa uses these to generate access tokens.

  1. You'll be redirected to the Magento pop-up. Log in to your Magento account.

  2. On the authorization screen, confirm the shop is authorized and your contact details are correct, then click Confirm to Install.

  3. On the Authorize screen, review the permissions Logiwa IO is requesting, check the acknowledgment box, and click Authorize.

  4. Once authorized, you'll be redirected to the Magento Connection List, showing your new connection as Completed and Activated.

  • To edit a connection: click it to open Edit Store Connection. You can update Store Name, Active status, and Contact Email here.

  • To update flows: click Manage Configuration to change enabled flows.

  • Once configuration changes are made in the pop-up, click Continue, then Close to save.


Integration Methods

Download Orders

Purpose: Automatically imports Magento orders into Logiwa for fulfillment.

Sync Frequency: Every 5 minutes (polls for orders with Pending status).

Business Rules:

  • Orders updated to Cancelled in Magento sync as cancelled in Logiwa.

  • Configurable, Grouped, Bundled, and Simple product lines are broken down into simple SKUs upon download.

  • Virtual and Downloadable product lines are automatically excluded.

  • Requested shipping options are captured in the Requested Shipping Option field.

Download Products

Purpose: Imports your Magento product catalog into Logiwa so SKUs exist for fulfillment.

Behavior: Initial full import during setup, followed by a daily scheduled automation. Syncs simple products and imports configurable product child variants as simple items.

Sync Inventory

Purpose: Automatically sends sellable inventory quantities from Logiwa to Magento.

Sync Frequency: Every 10 minutes, from a single designated warehouse location.

Calculation Logic: Sellable Quantity = On-Hand Quantity − Commitments to Open Sales Orders. For Kit to Order items, the Net Kitting Capacity is transmitted.

Send Shipment Information

Purpose: Sends shipment details and tracking numbers back to Magento once an order ships from Logiwa.

Sync Frequency: Every 10 minutes. Updates Magento order status to Shipped, transmits carrier information, and notifies the customer. For multi-package shipments, the master tracking number is sent.

Error Handling & Logging Details

💡 Processing logs are not accessible directly via the Logiwa dashboard. All troubleshooting inquiries must be directed to the Support team by opening a ticket through HubSpot.

Common Integration Errors

API Connection Errors

  • Common Causes: Expired credentials, platform rate limits, system timeouts, or temporary Magento API unavailability.

  • Behavior: Details are logged automatically and an error notification email is triggered.

Inbound Errors (Magento → Logiwa)

  • Common Causes: Missing required data (e.g., SKU or address), unrecognized SKUs missing from Logiwa's product master, or duplicate order submissions.

  • Behavior: Transaction rejected automatically, flagged for manual review, and an alert email is sent detailing the specific error.

Outbound Errors (Logiwa → Magento)

  • Common Causes: Missing tracking numbers or Magento rejecting updates due to invalid carrier formatting.

  • Behavior: Update is skipped, flagged with an error status, and logged/emailed for manual correction in Logiwa.

Logging Details

Every system event logs the following parameters:

  • Timestamp

  • Target Endpoint

  • Transaction Status (Success/Failed)

  • HTTP Response Code

  • API Error Message / Response Body


Common Questions & Edge Cases

Why was my order rejected during Download Orders?
Most often this is caused by a SKU on the order that doesn't exist in Logiwa's product master, or missing required address/customer data. Pre-load your catalog SKUs in Logiwa before enabling order downloads to avoid this.

Why isn't my inventory update reaching Magento?
Confirm your Sync Inventory warehouse is the single designated source location — inventory synced from any other location will not push. Also confirm the Product UOM configured during onboarding matches the base UOM on the Magento listing.

Do Virtual or Downloadable products sync to Logiwa?
No. Virtual and Downloadable product lines are automatically excluded from Download Orders since they don't require physical fulfillment.

What happens to Configurable, Grouped, or Bundled products?
These are broken down into their simple, sellable child SKUs upon download — Logiwa processes fulfillment at the simple-SKU level.


Operational Best Practices

  • Pre-load Catalog SKUs: Ensure all simple product SKUs exist in Logiwa before enabling sales order downloads to prevent order rejection due to unknown SKUs.

  • Align Product Units of Measure: Verify that the Product UOM selected during onboarding matches the base UOM configured on Magento product listings.

  • Monitor Alert Email: Maintain an actively monitored contact email address in connection settings to catch and resolve skipped outbound updates or rejected inbound orders promptly.

  • Single Warehouse Source: Link inventory synchronization to a single primary warehouse location in Logiwa to maintain clear balance accuracy across your storefront.
