eBay Integration

Connect eBay to Logiwa and synchronize orders, products, inventory, and shipment confirmations — entirely self-service.

Logiwa streamlines your warehouse management with a user-friendly self-onboarding process for sales channels. This article walks you through the available functions, setup, and operational rules for your eBay sales channel.


Before You Begin

Connecting your eBay Shop to Logiwa is entirely self-service. You'll do everything — logging in, authorizing access, and choosing your Warehouse, Client, Order Type, and UOM — directly from the Logiwa Middleware and eBay's own screens. There's nothing you need to send to Logiwa in advance; just keep the note below in mind before you start.

⚠️ Log Out of eBay First: Log out of eBay on your main browser before starting the connection process below. eBay's authorization screen uses your browser's active session, so if you're already signed in, Logiwa may connect to whichever eBay account is currently logged in rather than the one you intend to use. After logging out, continue with the steps below and sign in with the correct eBay seller account when prompted.

⚠️ Production access only: This integration connects to your live eBay Shop. There is no sandbox/test environment, so plan your go-live testing (see the Go-Live checklist below) with that in mind.


Connect eBay in Logiwa

Start the Connection

  • Log in to your Logiwa Middleware panel.

  • Navigate to Integrations > Store and Marketplace.

  • Select eBay from the list of available integrations and click Connect Now.

Integration Management: locate eBay among the available Store and Marketplace integrations.

Connection Screen Fields

  • On the connection screen, select or enter the following, then click Continue:

Connect Ebay Integration: eBay Store Name, Client, Warehouse, Shipment Order Type, Product UOM, and Contact Email.

Enter a name to identify this connection within Logiwa.

Select the order type to apply to orders imported from eBay.

Select the Unit of Measure to apply to products synced from eBay.

Contact Email

The address that receives integration notifications, status updates, and errors.

  • On the Overview tab, turn on the workflows you want to activate, then click Install. Enable the workflows this store needs — you can leave a workflow off if that store should not sync that data.

Select the features to install: Download Orders, Send Shipment Information, Sync Inventory, Download Products.

  • On the Authenticate tab, fill in all of the information as "Production," then click Connect to eBay.

eBay Permissions (API Scopes)

During authorization, eBay asks you to approve the following permissions. These allow Logiwa to read and update orders, inventory, and account information on your behalf:

  • Sell Inventory

  • Sell Fulfillment

  • Sell Account

  • Full Trading API Access

Authorize eBay

  • After clicking Connect to eBay, you'll be redirected automatically to eBay's official login page.

  • Log in using your eBay seller account credentials.

  • You'll see a consent screen ("Grant application access") listing the specific permissions being requested.

  • Review the requested permissions and click I Agree to approve.

  • You'll be redirected back to Logiwa, where a "Connection Successful!" message confirms your eBay account is now connected.

🔒 Security Note: Before entering your credentials, always confirm the browser address bar shows the official ebay.com domain (or your country-specific eBay domain).

Managing Permissions & Revoking Access

You can review or revoke access at any time from either Logiwa or eBay:

  • From Logiwa: Navigate to Integrations > Store and Marketplace > your eBay connection, and use the Delete option.

  • From eBay: Log in to your eBay account and go to Account Settings > Site Preferences > Third-Party App Authorizations. Find Logiwa in the list and select Revoke.


Operational Rules & Edge Cases

To prevent fulfillment delays and listing discrepancies, review these operational business rules.

Inventory Sent to eBay Is "Available to Sell," Not Total On-Hand

To protect you from overselling, Logiwa sends the Available to Sell quantity to eBay, not the total physical On-Hand count.

How it's calculated:

Available to Sell = Physical On-Hand Quantity − Open Sales Order Commitments

💡 Why this matters: This ensures that inventory already reserved for other customers is never listed as available on eBay. You can confirm these numbers yourself in the Logiwa UI by navigating to Reports > Inventory > Available to Promise (ATP).

Multi-Package Shipments

If an order is shipped from your warehouse using multiple packages, eBay is updated with the master tracking number only — individual package tracking numbers are not sent.

Business-Rule & Data-Content Errors Are the Shop Owner's Responsibility

Logiwa's error handling automatically captures and logs system-level issues, such as a formatting or transmission failure. However, errors related to business rules or the content of the data itself — for example, missing product information or incorrect order details — are reported back to you, and resolving them is the Shop Owner's responsibility.


Integration Flows & Field Mappings

ℹ️ Reading these tables: Fields shown in parentheses are technical eBay or Logiwa field names used by the system. The text before the parentheses is the everyday, user-facing label.

Order Download (eBay → Logiwa)

Cadence & Trigger: Scheduled automation running every 10 minutes. Logiwa pulls newly created and confirmed orders with a "Not Started" status.

Business Rules: For each order, the system either creates a new order in Logiwa, updates an existing Logiwa order, or cancels the Logiwa order if it was canceled on eBay. Order details — including the shipping address, SKUs, quantities, and chosen shipping service — are pulled with each order.

Business Rules: Once an order has shipped from your warehouse, Logiwa automatically sends the shipment details to eBay. This updates the order status on your storefront and provides your customer with tracking information.

⚠️ When Shipment Updates Can Fail: Updates may fail to process if required details — such as a tracking number — have been omitted, or if eBay rejects the submission due to an unrecognized carrier or a non-compliant tracking number format. See Log Access & Support below for how these failures are reported.

Business Rules: Updates your eBay listings to reflect current stock levels. As described above, the quantity sent is Available to Sell, not total On-Hand.

System Behavior

API Connection Failures

Session timeout, expired login credentials, too many requests sent at once, or eBay's API temporarily unavailable.

The issue is logged automatically with the error details, and an error email is sent for visibility.

Inbound Errors (eBay → Logiwa)

Missing required details (such as SKU or shipping address), an unknown SKU that doesn't exist in Logiwa's product catalog, or a duplicate order already received and processed.

The order is rejected automatically, flagged for manual review, and an error email is sent with details about the issue.

Outbound Errors (Logiwa → eBay)

Missing required details (such as a tracking number), or eBay rejecting the update because of invalid data (e.g., unrecognized carrier or incorrect tracking number format).

The update is skipped, flagged with an error, and the details are logged and emailed to you.

Every system event captures the following diagnostic markers (where applicable):

  • Timestamp

  • API Endpoint

  • Status (Success / Failed)

  • HTTP Status Code

  • Error Description / API Response Body

💡 Note on Log Access: Processing logs are not accessible via the Logiwa user interface dashboard, though log details for specific transactions can be shared upon request. All troubleshooting inquiries must be directed to the Support team by opening a ticket through HubSpot.

ℹ️ When opening a support ticket, include: your eBay Shop Name; the time of the error; the eBay Order ID (if applicable); the subject line of the error email; and any error message shown in the email.


Operational Best Practices

  • Maintain Exact SKU Alignment: Ensure product SKUs match exactly between eBay and Logiwa before activating synchronization flows.

  • Manage Administrative Credentials: Keep the dedicated eBay API service account active, and monitor the connection status in Logiwa.

  • Confirm Carrier Names Match: eBay must recognize the carrier name sent with each shipment update, or the update will be rejected.

  • Monitor Inventory Buffer Expectations: eBay reflects your Available to Sell quantity roughly every 10 minutes, so there is a brief window between a sale elsewhere and the listing quantity updating on eBay.


Go-Live Test Checklist (UAT)

⚠️ Testing runs against your live eBay Store: This integration does not use an eBay sandbox environment, so the UAT steps below run against your live eBay Shop. To avoid leaving test data in your live store, use clearly-labeled test listings and buyer accounts where possible, and remove or end the test listing once UAT is complete.

Test Order Download

  1. In eBay, place a test order for a test listing (or a low-value item you're comfortable testing with).

  2. Wait 10 minutes.

  3. Confirm the order appears in Logiwa with the correct customer, SKU, and quantity.

Expected Result: Order appears in Logiwa as a shipment order.

Test Send Shipment Info

  1. In Logiwa, complete the test shipment order (mark as Shipped) with a valid tracking number and carrier.

  2. Wait 15 minutes.

  3. In eBay, confirm the order shows the Shipped status along with the correct carrier and tracking number.

Expected Result: eBay order is automatically updated with tracking details.

Test Inventory Synchronization

  1. In Logiwa, confirm the Available to Promise (ATP) quantity for the test SKU.

  2. Wait 10 minutes for the scheduled sync to run.

  3. In eBay, confirm the listing quantity matches the ATP quantity from Logiwa.

Expected Result: eBay listing quantity reflects the Available to Sell quantity from Logiwa.

Test Product Synchronization

  1. In eBay, create or update a test listing.

  2. Wait 15 minutes.

  3. Confirm the product appears in Logiwa with the correct SKU, title, and price.

Expected Result: Product appears (or updates) in Logiwa.

💡 If any test fails, refer to the Flow-Specific Error Scenarios above. If the issue persists, open a support ticket with the details listed in that section.


Known Limitations

  • Business-Rule & Content Errors: Errors related to missing or incorrect product/order data are reported to the Shop Owner for resolution; they are not automatically corrected by the integration.

  • Multi-Package Tracking: Only the master tracking number is sent to eBay for shipments with multiple packages — individual package tracking numbers are not transmitted.

  • Log Access: Currently not available via the Logiwa UI. All diagnostics require a support ticket through HubSpot.
