Overview
The "Keep PO Number on Inventory" feature in Logiwa IO ensures that the Purchase Order (PO) Number is consistently tracked and associated with inventory records. This functionality improves traceability and provides an easy way to manage inventory linked to specific POs throughout the warehouse operations.
How to Use the Feature
Enable the "Keep PO Number on Inventory" Setting:
Navigate to the Client Settings page.
Enable the "Keep PO Number on Inventory" option from the settings menu.
This will automatically track and display the PO Number with every relevant inventory record.
Key Processes Affected by this Feature:
Receiving Inventory: When inventory is received against a purchase order, the system will automatically record the PO Number into the inventory records. This is done if the feature is enabled for your account.
Inventory Updates: Any movements, updates, or adjustments to inventory will carry the PO Number to ensure accurate tracking throughout the item's lifecycle.
Transfers: Any transfer operations to inventory will also carry the PO number.
When mobile transfer is used, if a certain location or LP contains the inventory of same SKU & pack type with different PO Numbers, the system initially relocates the older inventory.
If the older inventory is entirely transferred and some inventory still needs to be transferred, then system selects the second older inventory for the transfer.
Picking and Replenishment: When picking or conducting replenishment operations on the mobile app
PO Numbers will not be visible during these operations on the mobile interface.
If a location contains inventory with the same SKU and pack type but different PO numbers (e.g., 3 PO numbers with 5 quantities each):
The mobile app will display the total quantity (e.g., 15) instead of showing 3 separate entries of 5.
However, in the background, the system will still create tasks based on the individual quantities per PO number (e.g., 5 x 3).
Count: During count operations, inventory with different PO numbers will not be counted separately. Instead, entering the total product quantity at the location is sufficient.
The system will automatically handle the breakdown by PO numbers in the background, ensuring accurate tracking without the need for separate entries for each PO number.
In case of inventory adjustments are made in the over-count or under-count situations, the system will proceed as explained below
Matching Quantities: If the count matches the stock quantity across multiple PO numbers (e.g., 36 counted, 36 in stock), no adjustments are needed.
Over-Count: If more inventory is counted than recorded (e.g., 37 counted vs. 36 in stock) and inventory adjustment is made, a new stock line is created for the extra inventory, and it will not be associated with a PO number.
Under-Count: If less inventory is counted than recorded (e.g., 35 counted vs. 36 in stock) and inventory adjustment is made, the system reduces the stock starting from the oldest PO lines first. This ensures that the oldest inventory is adjusted first.
User Interface Updates
The "PO Number" field has been added to relevant screens for easier access and visibility:
Inventory by Location: Displays the PO Number associated with each inventory item. This visibility is also available in the Open API.
Task Details: Shows the PO Number linked to each task, ensuring task execution follows the correct inventory allocations.
Shipment History Report: PO Numbers are visible for every shipment, improving post-shipment tracking. This visibility is also available in the Open API.
