Once your Room is open, you control who joins, who waits, and when each session ends from the Room window, the Participants panel, and the home screen.
Admitting a guest
When someone asks to join your Room, they wait until you let them in. Waiting guests appear in the Room window under WAITING TO JOIN, in the My room card on the home screen, and in the Participants panel.
With your Room open, click Participants (the two-people icon) in the Controls bar, the dark gray strip along the bottom of the Room window. It is the last button in the left group, and the panel opens above it. Its hover text shows how many people are waiting.
Select Admit next to a name to let that guest in. The session starts right away.
Select Decline to remove them from the waiting list. They see that their request was declined and can ask again.
The Room window lists the first few waiting guests. When more are waiting, a row reading "N more waiting" appears; click See all to open the Participants panel with everyone.
If no one is waiting, the panel reads "Guests will appear here when they're waiting to join." and shows a Copy room link button.
ℹ️ A check mark next to a name means the guest joined while signed in to a Nearo account. Anyone else is shown as a guest.
ℹ️ If a guest's connection looks weak while they wait, their row in the Room window and in Participants reads "[Name] is waiting · Connection looks unstable" or "[Name] is waiting · Connection may not work". It is only a heads-up, and Admit and Decline work as usual.
Switching between guests
Only one guest can be in your Room at a time. While a session is running, Admit is hidden and anyone else keeps waiting.
Click Participants in the Controls bar.
Select End session, the red button next to the guest who is in your Room.
Select Admit next to the guest who is waiting.
Your Room stays open between guests, which makes back-to-back sessions easy.
Ending a guest's session
To end the session while keeping your Room open:
Click the red End Call button at the right end of the Controls bar, or open the Participants panel and select End session.
Your guest is disconnected, the window returns to your open Room, and you can admit the next guest.
💡 In the small Floating View window, click Participants among the controls under the video tiles to open a small menu, select End [Name]'s session, then click OK to confirm. To let a waiting guest in from the Floating View window, open the same menu and choose Admit [Name] (or Decline [Name]). You open Floating View with Switch to Floating View in the Controls bar, and go back with Switch to Standard View at the right of the window's top row. At the smallest sizes, Switch to Standard View moves into the Options menu (the three dots at the right of the top row).
Closing your Room
To close your Room for everyone:
Click Close Room in the My room card on the home screen, or click the red Leave Room button at the right end of the Controls bar when no guest is in the Room.
If a guest is in your Room and you close the Room window with its close button (X), Nearo asks "End session?" Select OK to end the session and close your Room, or Cancel to keep going.
This ends any session in progress and tells anyone still waiting that you have left.
