Why can't my student join my Nearo Room?

Fix the common reasons a student can't get into your Nearo Room, from a mistyped code to a refused name.

Start with the section that matches what your student sees on their screen, since the quickest fixes come first.

💡 For the steps your student follows to join, see Joining a Nearo Room as a guest.

Check the Room link or room code

If the link or code has a mistake in it, your student sees "This room doesn't exist" in their browser, or "Room not found. Check the code and try again." in the Nearo desktop app.

  • Copy your Room link again and send it to your student. Open the Nearo desktop app and sign in. On the home screen, find the My room card at the top of the page, and click the copy icon in the row under My room link.

  • If your student is typing the room code into the Nearo desktop app, have them check it against the letters and numbers at the end of your Room link, after /r/.

  • Your Room link works only while your account is a teacher or admin in at least one organization. If that changes, your student sees the same message even when the code is right.

ℹ️ For ready-to-send text that includes your Room link, see Sharing a Room invitation from Nearo.

Open your Room

If your Room is closed, your student's page shows "Not available right now", and after they join it shows "[your name] isn't in the room yet." They can still join and wait for you.

  • Click Open my room, the full-width blue button at the bottom of the My room card on the home screen of the Nearo desktop app.

  • Your student's page updates by itself, and anyone already waiting appears in your Room right away.

  • If your student has been on the page for a while and it still shows "Not available right now", ask them to refresh the page.

  • If the button reads End call first, you are in a call with a teammate. End that call, then click Open my room.

🔔 Nearo plays a chime and shows a notification when someone is waiting only while the Nearo desktop app is running and signed in. Check that Nearo is allowed to show notifications on your computer.

Let your student in

When your Room is open and your student is waiting, they see "[your name] will let you in shortly..." Nearo plays a chime, and a blue number appears next to My room link on the home screen.

  • In your Room window, find WAITING TO JOIN under your Room link, and click the round green button next to your student's name.

  • You can also click Admit next to their name in the My room card, or in the Participants panel. Participants is the last button in the left group of the Controls bar, the dark gray strip along the bottom of the Room window, and the panel opens above it.

  • If there is no Admit button, you are still in a session with someone else, and your waiting student sees "[your name] is in a call with someone else and will let you in when it ends." Only one student can be in your Room at a time. Click the red End Call button at the right end of the Controls bar, then admit your student.

💡 For more on admitting, declining, and switching between guests, see Managing guests in a Nearo Room.

If your student's request was declined

If someone clicked Decline, your student sees "The host declined your request to join." In the Nearo desktop app, they see "Request Declined" instead.

  • In a browser, your student clicks Try Again and joins again.

  • In the Nearo desktop app, your student clicks Back to Login and joins again.

  • When your student is waiting again, admit them.

If your Room closed while your student was waiting

Your student sees "[your name] closed the room." when you close your Room before letting them in.

  • Open your Room again with Open my room.

  • Your student clicks Join again to ask again. The Nearo desktop app shows the same message, with Join again and Leave room buttons.

ℹ️ If you are alone in your open Room for a while, Nearo asks "Are you still there?" Click OK to keep your Room open. If no one answers, Nearo closes your Room.

If your student waited a long time

After a long wait, your student's page asks "Are you still there?"

  • In a browser, your student clicks I'm still here to keep waiting. If they do not answer, they go back to the name screen and their camera turns off. They can type their name and join again.

  • In the Nearo desktop app, your student clicks OK on the "Still waiting to join?" box. If they do not answer, they see "Left the room after waiting without an answer." and can join again.

If your student can't use their name

Nearo does not accept names that are rude or inappropriate.

  • In a browser, if the Your name box turns red with "Please choose an appropriate name", the join button does not work. Ask your student to type a different name.

  • If Nearo still refuses the name, your student sees "Please choose an appropriate display name." Ask them to type a different name and join again.

  • In the Nearo desktop app, a refused name shows "Please choose an appropriate display name." Your student types a different name and clicks Join Room again.

If your student can't connect to your Room

In a browser, your student may see "Failed to connect to room" or "Couldn't join the room. Please try again." in a red box above the join button. They may also see "Could not connect to room. Check your connection and try again." or "Connection lost. Please try again." In the Nearo desktop app, they may see "Failed to join room", "Could not connect. Try again." or "Can't reach the room".

  • Have your student check that other websites load, then type their name and click the join button again.

  • If your student's page shows "Something went wrong" with a blue Rejoin button, have them click Rejoin. The page reloads, they join again, and you admit them.

  • In the Nearo desktop app, if your student sees "Can't reach the room", have them click Try again, or click Back to Login and join again.

  • If your student still can't connect, work through Why can’t I connect or stay connected in Nearo?, which goes from quick network checks to restarting the device.
