What is an Engagement Plan?

An engagement plan is a multi-channel donor communication plan that includes templates for various communication touchpoints throughout a specific campaign. Because research has proven it can take up to seven "touchpoints" for a message to resonate with a recipient, it's important to reach out to your donors multiple times with similarly-themed messages to encourage them to take action.

Our engagement plans can help you draft all of the necessary communication pieces that you need to reach your supporters in a meaningful way, and hopefully encourage them to give to your organization.


What's included in the plan?

  • 3 email templates

  • 1 video script

  • 1 social media post template

  • 1 text message script

  • 1 direct mail letter

For each of these communication pieces, we'll give you suggested text to use that can be customized to make it your own. We've designed our engagement plans to act as a starting point for what to say to your recipients, as well as provide some suggested dates to send those communications most effectively. ​

How can I edit the audiences for the email blast lists?

You can add or remove individual contacts from the automatically-generated lists by opening the next communication you want to send, then clicking the “Recipients” step, and then selecting the option to “Edit Recipients.”

As an added note, you can add or remove contacts one by one - but you can't edit the filter used to generate the audience lists.

Removing a contact from your automatically generated list will prohibit that contact from receiving an email in this specific campaign going forward. Once the first email is sent, future emails will go to everyone included in the first email's recipient list - unless a contact either unsubscribes, or makes a donation.


What happens when someone donates? Will they get the next email in the plan?

Once someone donates they will be automatically removed from the engagement plan list, and will not receive any of the future emails included in the plan.


How can our team collaborate on the plans?

The tasks in an engagement plan are auto-assigned to the admin user that initiated the plan, but any other admin user can see the tasks by clicking on the "Tasks" button in the top-right corner. Tasks can also be re-assigned, so they can be distributed across admin users if you choose.

Additionally, once an email is created from one of the tasks in the engagement plan, any admin user can access and edit the email prior to sending the final message.

What happens when I kick off the plan? Where do I revisit the tasks?

Once an engagement plan has been initiated, the tasks associated with the plan can be found under the "Tasks" button in the top-right corner.

Do you have any additional tips or tricks to prepare for a campaign utilizing one of these engagement plans?

Yes! We recommend several tips to help you prepare in advance of using your engagement plan, to ensure you're utilizing Donor Management to the fullest during these specific campaigns.

Offer a "Challenge Match."

You may want to find a donor (or small group of donors) who may be willing to offer a "challenge match" - a pledge to match a certain amount of funds donated. You could approach your board members, a highly active donor, or even a local business for this match.

Set a Goal.

You may want to set an initial goal for your engagement campaigns, to help provide your donors some guidance in your communications. Having a goal makes it clear how you plan on measuring success in your fundraising efforts, and can help provide both clarity and excitement in reaching those proposed goals.

A few simple ways to come up with a goal can include:

  • Running a filter in Donor Management to determine how much you raised by this time in a previous year, and increase that amount by 10-20%.

  • Running a filter in Donor Management to determine if you should focus on increasing your number of new donors, engaged donors, renewed donors, or recurring donors.

Gather Assets and Stories to Enhance your Campaign.

Many of our engagement plans include templates that suggest using some personalized language and information. Here's some of that information we recommend gathering together prior to initiating your engagement plan, so you're prepared with all the important details when the time comes to fill them in:

  • Your mission statement

  • The number of individuals your program impacts or reaches each year

  • "Impact Statements" from an annual report that drive your mission home

  • Stories and images from real clients to be used in your communications (with permission!)

  • The goals you set in the suggestion above
