As you add contact records, you might find duplicate records our system has not automatically flagged. For example, someone could have recently changed their name, and your historical records list their updated and prior names.
Not to worry! You can manually flag records as duplicates to review and merge.
Step 1: Navigate to your 'Contacts'
From your 'Donor Management' Dashboard, click the 'Contacts' tab on the left navigation panel.
Step 2: Search for the duplicate contact records
You will be directed to your 'Contacts' page, where you can search for the suspected duplicate records using the contact's name, e-mail address, phone number, or city.
Check the box in the top left corner of the tile on each record you want to flag as a potential duplicate.
Step 2: Flag the records as potential duplicates
Once you have selected all suspected duplicate records, click the 'Bulk Actions' button towards the top left of the page and select 'Flag Potential Duplicates' from the drop-down list.
A pop-up window should appear, asking you to confirm you want to create potential duplicates between the contact records you selected.
Step 4: Review or Confirm
You will be directed to your 'Potential Duplicates' page, where you can find a list of the records you manually flagged.
Next to each pair of duplicate records, click the 'Actions' button to 'Review' them or confirm 'These Aren't Duplicates'.
a) Selecting 'Review from the drop-down list of options
You will be taken to your 'Merge Duplicates' page. Here, you can compare records side-by-side, with the matching details highlighted.
Select the record you want to keep by clicking the radio button under it and then click the 'Merge Contacts' button.
Note: If these are not duplicate records, click the 'These Aren't Duplicates' button.
b) Selecting 'These Aren't Duplicates' in the previous step
A pop-up window should appear, asking you to confirm that you want to mark these records as non-duplicates. Click 'OK' to proceed.
The records will no longer be listed under 'Potential Duplicates'.
