After you have created your first games in Notch you can then start to fill them with assignments! This step by step guide will walk you through what you need to know and where to get started.
Understanding the assign page
The 'Assign' page will be your go to for all assignments. As you can see from the image above this page can become quite busy. Lets start by breaking this page down and reviewing its components.
Filters
Starting towards the top we have our filters. These filters allow you to filter what games or roles are displayed in the "Assign" window on the page. Lets quickly review these filters and their options;
Search Bar : Allows you to filter games by game number, location, team, and official.
View Date Range : Filters games by a selected date or date range.
Competition : Narrows games down by competition(s).
Assignment Status : Allows you to filter by game assignment status using a predetermined list of statuses.
Assigned / Accepted : Assignments that have been made by the assignor and have been accepted either by the official or assignor.
Assigned / Declined : Assignments either requested by the official or assigned by the assignor that have declined by either party.
Assigned / Unpublished : Assignments made by the assignor but have not be made visible to the officials.
Unassigned : Roles that have yet to be requested or assigned.
As you apply filters the game records displayed will update in real time using the filters applied. Below we can see all the games with the "Unassigned" roles filter applied.
Assign Window
"Unassigned" roles are easy to understand. However, each assignment status has a different visual to it. Knowing these visuals will help you when reviewing assignments at a glance. Lets take a quick peek at what those different statuses look like -
A green check mark indicates the role has been Assigned & Accepted.
A red X will indicate a role has been Assigned but declined.
A dark grey circle will indicate that the role has been assigned/requested but hasn't been accepted.
A light grey circle indicates that the assignment has been made but not published to the official(s) for acceptance/denial.
Here's an example of something you might see in the assign window. You should now be able to tell the status of each of these assignments :
Making your first Assignment
Lets make our first assignment! If following along, make sure to have games loaded and officials registered to your group. If your unsure how to create games check out this guide here.
We are going to start by walking through assigning an "Unassigned" position. First, we will click on one of the open positions from one of our games. When doing so this up will update the "Official Availability" panel on the right as shown below.
The "Official Availability" panel will contain all the officials associated with your group. When you have an open position selected it will also display additional key bits of information that we will outline below ;
Name - The officials first and last name.
Certification Status - When certified a small shield will appear next to the officials name. When hovering over the icon information of the referees licenses will be displayed as seen below
Availability - This will display the officials availability to officiate the game. Availability is determined by the officials availability, currently assignments, and date/time of the game itself.
Green Check - Official is available for the game
Orange Check - Official may have a conflict with another assignment.
Red X - Official is not available to officiate the game.
Age - The age of the official.
Distance from Venue - The officials distance from the location. This distance calculated by using the zip code of the officials zip code and the zip code of the games location.
We can also leverage several filters to find the right officials for the position. For our test we are going to look for officials named "Josh" and only display those officials who are available.
To search by the name we simply need to type "Josh" into the search bar. However, to get the additional filters we need to click on "Sort By" in the upper right. This will display a drop down as seen below. We simply need to toggle the "Hide Unavailable" slider to update our results.
Now simply drag and drop the official into the selected position. This will update the assignment as Assigned / Unpublished as seen below -
At this point you can either continue making assignments, save our work, or publish the assignment for review by the official. For now we will proceed to publish the assignment. This will notify the official that they have new assignments for review and prompt them to either accept or decline the assignment(s).
Alternatively, you can manually change the status or remove the official from the assignment. To do this simply click on the assignment as shown and select either "Set Status" or "Remove".
