Canceling or deleting games is something that eventually comes up for every assignor. Knowing when to cancel or when to delete a game is an essential skill that prevents issues for yourself and your officials. In this guide we will walk through how and when to cancel & delete games.
Canceling Games
Canceling a game is easy to do from your assignor dashboard and Notch offers two ways of doing it.
If your canceling a single game you can locate the game in the "Games" page of your dashboard and clicking the 3 dots on the right side of the games record as shown below.
Simply select "Cancel" from the list of options and a new window will appear. -
From this window you can select the appropriate adjustment status and add any additional reasons/comments for the cancelation. Please note, if you select an adjustment status that results in a payment of officials/assignors a post game report will be generated for you to approve and pay.
Once a game is cancelled you will no longer be able to delete the game record or restore it as an 'Active' game.
If you need to cancel multiple games at a time and are using the same adjustment status for all of them you can also try selecting the games from the 'Games' page and clicking the "cancel" button as shown. -
This will bring up the same cancellation screen as before where you can select your adjustment status and add any comments.
When to cancel a game.
Lets take a look at some of the key points for cancellations -
When a game is cancelled its record will live on forever within Notch and will appear on reports as well as the officials games.
Officials and assignors can still get paid from cancelled games if an appropriate adjustment status is chosen. This is helpful in the event of a rainout where officials are on site.
Cancellations are permanent. Once cancelled the record can no longer be changed. Proceed with caution when choosing to cancel a game.
Considering these points you will only want to cancel a game when you know for sure the game will be cancelled. This is important as once a game is cancelled you will not be able to go back and change it.
Otherwise, game cancellations are a great tool to use when you still want folks to get paid for games and/or be able to report on them later on.
Deleting Games
Deleting games is preformed similarly to canceling games. Lets take a look at the process. -
Just as with canceling games to delete a game you will need start by to navigating to your "Games" page of your assignor dashboard. Notch offers two ways to delete games. Either individually or multiple at a time the process remains simple.
Heads up! Game deletions cannot be done on games with official assignments. Please remove assigned officials first before deleting the games.
If your looking to delete a single game simply pick it out from your list of games and select the 3 dots on the right of the game record as shown below. -
When you select the delete option a new screen will appear asking you to confirm your deletion.
Once you select the red "Delete" button you cannot undo deletion. Be sure to proceed carefully!
If you have multiple games you wish to delete simply select them by clicking the check boxes on the left side of the game records as shown below. Once you have the games selected simply click the trashcan icon at the top of the page to delete the games. -
As with single game deletions you will be prompted to confirm your action in a popup window. -
Once you select the red "Delete" button you cannot undo deletion. Be sure to proceed carefully!
When to delete games
Lets take a look at some of the key points for game deletion -
You cannot delete games with assignments
Games can be recreated using the same, or similar, configurations. However, you cannot 'undo' your deletions if done by mistake.
All record of the game(s) will be removed when deleted. As such they will no longer appear in reporting.
You cannot delete a game after it has happened. I.E After the start date/time of the game.
This means that game deletions are better suited to removing games that were created by mistake. This method removes all history of the game(s) from the system and ensures that no payment is dispersed for the game(s).
