Customising email templates

The template feature is a real-time saver, allowing you to mass respond to candidates while still maintaining a personal touch.

You can use the template feature at all stages of the hiring process, as well as in your message center.

To access and use templates:

  1. Go to Templates to find email templates.

  2. These templates can be edited to suit your company’s needs.

  3. You also have the option to create new templates as needed.

This feature makes it easy to send consistent and personalized responses to candidates without the need to manually write each message.

To input new templates:

  • From the left side menu select “Templates”

  • Click “+ New Template” to create a new template

  • Enter the template name, template type, and template subject.

  • Enter the text for the body of the email

  • Use “template fields” to auto-populate information, e.g. {my_company_name} will automatically insert your company name.

  • Copy the field you want to insert

  • Paste as plain text

  • Hit Save

You can manage the visibility of each template by making it public (shared) or private, depending on your preferences.

Template Name: Application Unsuccessful

Type: CV Reject

Subject: Job Application Update

Dear {candidate_name},

Thank you for your interest in working with {my_company_name}. There has been a high volume of applicants for this role. We have reviewed your application in detail but unfortunately, we do not feel that you are the right fit for the {job_title} at this time. We would like to keep your CV on file for future job opportunities. If you do not wish us to store your CV please notify me on {my_email}.

{my_name},

{my_company_name}

To edit templates:

  • From the left side menu select “Templates”

  • Click the “edit” icon on the right side of the template you wish to edit

  • Edit the required information

  • Use “template fields” to auto-populate information, e.g. {my_company_name} will automatically insert your company name.

  • Copy the field you want to insert

  • Paste as plain text

  • Hit Save
