We’ve recently added a new feature allowing customer to attach a GL Account to their productions to make it easier to associate sales for a production to their internal chart of accounts. You might use this to feature:
To track revenue per production in your own accounting system—ensuring sales data aligns with your internal chart of accounts.
To make financial reporting and audit prep easier by clearly associating individual events or productions with specific ledger entries.
To generate accurate revenue reports (by order date or event date) that include GL tags for faster, automated reconciliation.
👟 Walkthrough
Find the event under the Productions tab and then by clicking on Details.
Click on the pencil to the right of GL Account to add or edit a GL; it is free text entry and allows up to 255 alphanumeric characters.
After adding a GL Account to a production, this number will appear on two reports:
Total Revenue by Order Date
Total Revenue by Event Date
If a GL Account is added to production, it will appear adjacent to the production name in both of these reports at the production summary level and for each individual event.
🎓 Recap
On The Stage allows you to enter a free-text GL account code (up to 255 characters) for each production via the Show Details section. Once added, this code appears in both Total Revenue by Order Date and Total Revenue by Event Date reports—helping align production-level revenue with your accounting system.
🚀 Best Practices
Establish a consistent GL code format—for example, "PROD-2025-1234"—so it’s easy to sort and filter within your accounting system.
Apply GL codes at the production level, not the event, to ensure consistent tagging across all revenue streams (e.g., add-ons, merch, donations).
Train your team to include GL information whenever setting up or publishing a show to avoid missing tags.
Validate your reports regularly to confirm GL codes appear correctly and revenue lines match your chart of accounts.
Use in audit cycles to make reconciliation easier for your finance team by filtering reports by GL account codes.
