Managing Subscription Renewals

Keeping your subscription offerings up to date is now easier than ever. We've introduced new renewal tools, bulk editing capabilities, and patron self-service renewal options to simplify preparing for a new season.

What's New?

The latest subscription updates include:

  • Improved tables with renewal status and filtering

  • Renewal reminder emails for subscriptions

  • Self-service subscription renewals in the Patron Portal

  • Bulk subscription renewal workflow

  • Bulk editing and publishing for draft subscriptions

  • New marketing Plays for promoting subscriptions and memberships


Renewal Reminder Emails

Subscriptions can now automatically send renewal reminder emails to existing subscribers before their current subscription expires.

You can choose to send reminders:

  • 30 days before expiration

  • 14 days before expiration

  • 7 days before expiration

To enable reminders:

  1. Open the new subscription.

  2. Turn on Renewal Reminder Email.

  3. Select the reminder schedule.

  4. Choose the current subscription this package renews from.

How subscription mapping works

Each renewal subscription is linked to an existing published subscription.

The mapped subscription:

  • Determines when reminder emails are sent

  • Controls when patrons see the Renew button in the Patron Portal

  • Must be an active, published subscription of the same subscription type

Noteworthy: Membership renewal reminders continue to work as they always have. Memberships also include a new Include in Play option for marketing emails.


Announce New Subscriptions Play

A new Play is available to help market your upcoming subscription season.

The Announce New Subscriptions Play:

  • Sends to your marketing list

  • Excludes current subscribers

  • Highlights up to five subscriptions marked Include in Play

  • Displays subscription benefits shown during purchase

  • Can optionally include a promotional code and expiration date

Announce New Memberships Play

A companion Play is also available for memberships.

This Play:

  • Sends to marketable contacts

  • Excludes current members

  • Highlights up to five memberships

  • Includes membership names and descriptions

Because recurring memberships typically don't use promo codes, this Play does not support promotional offers.


Patron Self-Service Renewals

When a patron has an eligible subscription to renew, they'll see a Renew Subscriptions button in their Patron Portal.

Subscriptions nearing expiration are also marked with an orange badge to make them easier to identify.

If the patron has one renewable subscription

Selecting Renew Subscriptions automatically adds the new mapped subscription to their cart and begins checkout.

If the patron has multiple renewable subscriptions

They'll first choose which subscriptions they'd like to renew before continuing to checkout.


Renew Current Subscriptions in Bulk

Preparing next season's subscriptions is now much faster with the Renew Current Subscriptions workflow.

From the Subscriptions page, select Renew Current Subscriptions.

The workflow guides you through recreating multiple subscriptions at once while automatically carrying over most settings.

Step 1: Choose subscriptions

Select at least two published subscriptions to renew. Subscriptions that already have renewal mappings won't appear. If you're only renewing one subscription, you can continue using the Duplicate option from the Actions menu.

Step 2: Edit subscription details

Most fields are pre-filled from the original subscription.

By default:

  • Dates advance by one year

  • Subscription names become Copy of [Subscription Name]

  • Renewal mapping is automatically created

  • Renewal reminders can be configured

Bulk Edit

Use the Bulk Edit panel to update multiple subscriptions simultaneously.

For example, you can apply the same:

  • On Sale Date

  • Sales window

  • Renewal reminder settings

  • Other shared fields

to every selected subscription with a single action. You can save your work as a draft at any time.

Step 3: Assign performances

Assign performances just as you would when creating a subscription normally.

Performance assignments are optional for most subscription types and unavailable for Ticket Pack subscriptions.

Step 4: Review and publish

Before publishing, you'll review:

  • Subscription details

  • Renewal reminder settings

  • Performance assignments

The review screen also alerts you if:

  • Renewal reminders are disabled

  • Performances haven't been assigned


Bulk Edit Draft Subscriptions

If you've saved multiple subscriptions as drafts, you can edit or publish them together.

From the Draft tab:

  • Select one or more subscriptions using the checkboxes.

  • Choose Edit or Publish.

Editing drafts

  • Selecting one draft opens the standard edit page.

  • Selecting multiple drafts opens the bulk editing experience used during the renewal workflow.

Publishing drafts

Selecting Publish immediately publishes all selected subscriptions and displays a confirmation message.


Frequently Asked Questions

Why don't I see a subscription available for renewal?

Only active, published subscriptions that don't already have a renewal mapping are eligible.

Can I save my work before publishing?

Yes. At any point during the renewal workflow, you can save subscriptions as drafts and return later.

How many subscriptions or memberships appear in the marketing Plays?

Each Play includes up to five subscriptions or memberships to help keep marketing emails concise and easy for patrons to read.
