Why You’ll Want to Print the Live Check-In List and Use It Offline

Printing the live check-in list is essential when Wi-Fi is limited, because it allows you to:

  • Check in patrons manually without needing internet access.

  • Avoid delays at the door by working from a pre-sorted, show-specific list.

  • Keep attendance records accurate, even if syncing happens later.

👟Walkthrough from Legacy Reports

Log into your On the Stage dashboard. Select Reporting Tab and click Legacy Reports.

Select the Event Check In Report. Select the Production. Select the Event date and time you want the list for. Choose HTML, PDF, or Excel for the list format. Push Generate. Your report will automatically download.

Select Details from your main Home page. Scroll down to the Performances section.

Click on Check In Report next to the desired date.

🎭 Noteworthy: There is no limit to how many users can be active in the Box Office Portal or Live Check In List at once. Anyone who is logged in can use the tools and all devices will update in real time as transactions occur, provided they are connected to the internet.


🎓 Recap

From the Legacy Reports section of your dashboard, select the Event Check In Report, choose the production, date, and format (HTML, PDF, Excel), and print. This gives your team a complete list of expected attendees to use in offline or backup scenarios. You can also print the report from your Show Details page.

  • Print before showtime, ideally during pre-show setup.

  • Label lists clearly by date/time to avoid confusion.

  • Train staff to mark off names cleanly for easy entry later.

  • Input manual check-ins after the show to sync reporting data.
