Using the Patron Check In Feature

On the day of your event you will check ticket buyers in using the Live Check In List. Like the Box Office Portal, this feature is accessible via laptop or desktop computer, tablet, and smartphone.

Why You’ll Want to Use the Patron Check‑In Feature

The Patron Check‑In feature empowers your team to:

  • Quickly admit guests using only their name and confirmation code — no need for QR scanning.

  • Support partial party arrivals by checking in exactly the number of attendees present.

  • Correct mistakes instantly with the ability to undo accidental check-ins on the spot.

👟Walkthrough

To access the live Check In List, open the Box Office Portal for your selected event. On the left side menu, select the Check In List option on the dashboard.

Checking In Ticket Buyers

As ticket buyers arrive, ask for their name and confirmation code. How that code is displayed will differ depending upon how the tickets were purchased.

  1. Email confirmation: Ticket buyers who purchased online may show their confirmation code email as a printout or on their phone.

  2. Text confirmation: ticket buyers who purchased tickets at the box office will receive a text message from On The Stage.

If all members of the party arrive at the same time, click the < button in the Claim All Column to check in all patrons in that order.

Individual ticket boxes will turn green to indicate that these ticket buyers have checked in.

Checking In Incomplete Parties


If members of the party arrive separately from one another:

  1. Click the ticket type being used in the View Tix column.

  2. Select the number of boxes that correspond with the number of ticket buyers present.

  3. The individual ticket boxes will turn green to indicate that these ticket buyers have checked in.

Adjusting Accidental Check Ins


If someone is accidentally checked in:

  1. Click the button again to uncheck it.

  2. The button will return to gray to indicate that the ticket buyer is not checked in.

On the day of your show, open the Box Office Portal and select Check In List from the menu. When patrons arrive, prompt them for their name and confirmation code (from email or text). Then:

  • Click Claim All to check in an entire party at once.

  • Or click View Tix, select the specific number of tickets being used, and mark them checked in.

  • Each ticket box turns green when checked in, and accidental check-ins can be reverted with another click.

  • Train staff to request both name and confirmation code for speed and accuracy.

  • Encourage patrons to have their confirmation code handy—on paper or mobile—to avoid delays.

  • Use “Claim All” for groups arriving together to streamline the check-in process.

  • Monitor attendance in real time, since the portal syncs check-ins live for accurate reporting.
