Custom contact fields let you:
Capture important patron data—like donation tiers, volunteer interest, T-shirt sizes, or emergency info—that doesn’t fit into standard fields.
Personalize communications and services by leveraging specific insights for targeted marketing or on-site experiences.
Centralize historical information from past systems or import sheets, ensuring your CRM stays comprehensive and up to date.
Custom fields are data points that a user can add to patron profiles beyond the standard OTS fields. These fields will enable users to import data they have collected on patrons through former ticketing providers or other external sources. Reporting for custom fields is incoming.
Custom fields are only available on the Platinum plan
Custom fields are configured at the account level on the OTS platform
These fields have 3 possible data types that the user can choose: text, number, or date
I.e. If they wanted to store where patrons went to school, they would name the field ‘Institution’ and store text entries.
I.e. If they wanted to store annual income, they would name the field ‘Annual Income’ and store number entries.
I.e. If they wanted to store anniversary dates, they would name the field ‘Anniversary’ and store date entries.
Once they are configured at the account level, custom fields are seen on each patron’s profile on the custom fields tab.
Users can navigate to a patron’s profile to edit the entry for the custom field
I.e. If a user learns Jane Doe went to Harvard, they can navigate to Jane’s profile and type in Harvard as the entry for the Institution custom field
Users can bulk import custom fields along with patron data
User must configure custom field first
Bulk import functionality detailed at the end of this document
🎭Noteworthy: At this time, it is not possible to pull reports on these custom fields.
🎓 Recap
With the Platinum Plan, you can create up to five custom contact fields (Text, Number, or Date) to store unique patron info like T-shirt size, donor tier, or volunteer status. These fields appear in patron profiles and can be updated manually or via CSV import.
🚀 Best Practices
Set up fields before importing data to ensure accurate mapping.
Use clear, consistent field names so staff understand their purpose.
Stick to the right data format (e.g., numbers for years, text for names).
