1. Click on Settings on the lefthand panel of the OTS dashboard.
2. Click on Surveys.
3. This is the Surveys landing page. Here, you can create, customize, and launch surveys that will be sent to patrons either post-purchase (meaning right after the buy tickets) or post-event (up to 24 hours after the event to which they purchased tickets).
4. Click on the + sign in the top right corner to create a survey.
5. This will launch the Create Survey modal. Name your survey by typing a name in the first field.
Note: This name is internal only, it will not be seen by patrons.
6. Next, paste your link to your survey in the Link field. Note: This needs to be a valid URL, and needs to begin with either http:// or https://. Any other format will be invalid.
🎭Noteworthy: The surveys need to be created off platform using a survey service like Survey Monkey or Typeform. This is the link you will add in the above field.
7. Next, you'll select the timing of your survey. Pre-show surveys are sent at the time of purchase. This will be a separate email to the order confirmation email that a patron receives with ticket information.
8. If you select pre-show email, you will need to create a subject line. Enter this in the Subject Line field.
9. For pre-show emails only, users can control the copy shown to patrons. This is the perfect place to include context about your survey - why you're sending it, and what information you'd like to collect.
10. Next, you need to associate your survey with a production or multiple productions. Use the scrolling list to click on all of the productions you wish to apply the survey to.
11. Click on Create at the bottom righthand corner of the modal to save your survey.
12. After a survey has been created, it is automatically set as Active, meaning any purchases for the productions selected will have the survey(s) associated. For a given production, you can only have one pre-show and one post-show survey associated at a time.
13. On this table, you can use the Active toggle to turn the survey on and off. You can also view the name, creation date, timing, and productions of a given survey.
14. After clicking this toggle, the survey is now inactive and will not be sent. Click it again to make it active.
15. In the actions column, you can edit and delete a survey you have created.
16. Click on the pencil icon to launch the edit modal and edit your survey settings.
17. Once in the edit modal, you can change the name, link, subject line, email copy, and productions associated with your survey. You cannot edit timing after save. Create a new survey if you wish to make that change.
18. Here, I am updating the survey by adding another production.
19. Click on Update to save the changes.
20. Now on the main table, you will see the Productions list has updated.
21. Click on the trash icon to delete your survey.
22. Click on Delete to permanently delete your survey. Click on Cancel to exit this modal without making any changes.
23. The process to create a post-show survey is almost identical, except with a post-show survey, users cannot control the Subject Line or Body of the email.
24. This is the main survey page with a pre-show and post-show survey on it.
25. This is a sample inbox to show the pre-show survey email and the order confirmation email side by side. These will come to a patron's inbox as 2 separate emails.
26. This is an example of the pre-show email that is sent right after a patron buys a ticket. This email inherits the colors and branding of the organization - the default is OTS branding and colors, but if the organization has set up custom email confirmation, this email will inherit that branding.
27. To take a survey, a patron simply needs to click on the Take Survey call to action button, and they will be led to the configured link.
28. This is an example of the text that comes in the post-show email. All of this text is pre-set and cannot be changed by a user. If a patron clicks on the Take Survey link, they will be led to the configured survey. This email also inherits any branding set on the email customization page.
