Understanding the Change Order Process in the Installer Portal

A change order is required anytime there is a modification to the project scope, system size, equipment, pricing, or contract details. The steps below outline exactly how the change order process works and what installers should expect once a request is submitted through the portal.

Submitting a Change Order in the Portal

The installer begins the process by submitting a change order request directly within the Installer Portal.
This request must include:

  • Updated project details

  • Revised pricing or system information

  • Revised Contract

    Once submitted, the project will move into a “Change Order Pending” status.

    ustomer Approval Is Required

    After the change order is submitted, the bank contacts the customer via email to notify them of the request.
    The customer receives:

    • A summary of the changes

    • Instructions to approve the change order.

      No action is taken by the bank until the customer approves the change order.

      This step ensures transparency and customer consent before any loan terms are modified.

      Bank Review & Updated Loan Documents

      Once the customer approves the request, the bank begins processing the change order.
      This includes:

      • Reviewing the updated project details

      • Generating updated loan documents for the customer to sign

      These revised loan documents replace the previous version and must be executed before the change order is considered complete.

    Change Order Pending Status & Funding Restrictions

    While a change order is in process, the portal will continue to display “Change Order Pending.”

    During this period:

    Funding cannot be requested or released.

    The bank cannot process any fund disbursements until the change order is finalized and the new loan documents are signed.

    This is to ensure that all project and financing details are accurate before funds are issued.

Completion of the Change Order

Once the customer signs the updated loan documents and the bank completes the review:

  • The change order is officially completed

  • The project profile is updated in the portal

  • The revised loan amount, system details, and project information will now be reflected

  • Funding can be requested

    Installers may then move forward with scheduling, inspections, or funding as normal.
