You can sync your contact's information from Open To Close to Follow Up Boss. This includes emails, texts, notes, and fields. Anytime one is added or changed, it will update the contact in Follow Up Boss. Let's go over how this works.
Adding a Contact to the Contact Sync Option in Open To Close
Go to the property you want to connect to Follow Up Boss and click the Follow Up Boss logo at the top of the page.
Next, click on Connect APIs and add the Follow Up Boss API profiles that you need to connect to the property.
You can add as many profiles as you need to have connected to the property you are working on. If you aren't seeing the profile you need, review this article to learn how to add a new Follow Up Boss API connection.
Now you can select the Follow Up Boss API profile under Contact Sync. From here you can search for the contacts under the Follow Up Boss API profile and add them to the property.
This will open a text box where you can search your contacts that are listed on the property. Click on the + Add link to add the contact to your Contact Sync list.
You will be presented with toggle buttons for Emails, Texts, Notes, and Field Data. Switch on the ones you want to connect to Follow Up Boss. Once you're ready, click on Sync Fields.
After selecting Sync Fields, you will be prompted to either create a new API Field Map template for the Follow Up Boss API profile or connect an existing one. If you need to create a new API Field Map template, click here.
Applying the Follow Up Boss API Field Map Template
Click on the drop-down for Choose A Follow Up Boss API Field Map and select the API Field Map template.
There will be a preview of the mapped fields on the lower half of the screen. This allows you to double-check and ensure all the fields are mapped correctly between Follow Up Boss and Open To Close before syncing.
Very Important:
When the field sync is in use, the field values are actively pushed from Open To Close to Follow Up Boss via the API Field Map template.
Be sure to read the information on what will happen when you sync the fields. Once you have, click on I Understand, Continue. A purple Sync Fields button will appear in the lower left corner that you'll need to click on to finalize the action.
Synced Data in Follow Up Boss
You can go to your contact in Follow Up Boss to see the updated fields under the Custom Fields section.
If you have synced your emails, texts, and notes, you will see those updates in the contact's activity feed. They will always show as a note so as not to cause any issues with the automation in Follow Up Boss when certain emails or texts are received.
Creating an API Field Map Template for Follow Up Boss
You can create an API Field Map template before connecting your Follow Up Boss API to a property by navigating to the hammer icon and selecting Templates. Next, select API Field Map Templates and then click on Add New.
Here you will select the API, which in this case is Follow Up Boss. The Follow Up Boss API Type should be Contact Fields. Next, select the applicable Follow Up Boss API profile.
Important:
You will need to create a Contact Fields API Field Map template for each Follow Up Boss API profile connected to your account. The custom fields within Follow Up Boss can be unique to each Follow Up Boss user.
Lastly, name your template. We typically suggest adding in a date as well to keep track of when the API Field Map template was created. You can always alter and update the name of the template after it is created. Once everything is in place, click on Create.
Now it's time to map the fields in the template. Click on Edit under the template you just created.
After selecting Edit, you will see the list of custom fields that are available for mapping. Each field can be mapped as long as you have the corresponding field in Open To Close.
Occasionally the naming in Follow Up Boss might read different in Open To Close depending on how you created the field in Open To Close. If you are missing a field in Open To Close, please see this article on how to add that field to your account.
As you are mapping the fields, the template is automatically saved. Now that you've created your Contact Fields API Field Map template, you can use it in your properties.
