Setting Up Your Task Management

In the desired transaction, under the Tasks tab, you can create a task manually or use a task template.

We've rearranged the property tasks layout to provide more room to see task details. We've also updated the task to now show the notes and the EX (exclude) option on the same line as the task title.

  1. Add Task and Apply Template - clicking on the task button allows you to manually create a task and it allows you to apply a saved task template to your transaction.

  2. Filters - tasks can be filtered by using these buttons.

    • The task can be filtered by “All Tasks” or individual Task Template

    • Task Sort Order (by scheduled or unscheduled and by user)

    • Assigned User

    • Tags

    • Color Coding

    • Trigger

    • Critical - we've changed the color of the critical icon to match the toggle state of the property task filter. This icon will now be turned yellow if activated.

  3. Expand/ Collapse Task, Task Items, Resync Dates, and Sorted Order - it allows you to minimize or maximize your tasks, the task item is where you can see all Active, Completed Tasks, Deleted and Options for deleting tasks, you can either Delete “All” Tasks or Delete an entire task template. The sorted order can be done either "By Scheduled & Unscheduled" or "By User."

  4. Filter: Task Title - the task can also be filtered by Task Title using the search bar.

Task Editor (left side panel)

  • Task Status - you can sort by Pinned, Schedule, and/ or Unscheduled Tasks.

  • All or None - clicking ‘All”, or selecting multiple tasks, will give you the additional options at the bottom to adjust Task Roles, Tags, Set Date, Color, or Delete multiple tasks.

  • Close Task - once the box is checked, the task will be closed.

  • Color Task - assign a color label for each task.

  • Task Date and Task Title - the task due date and the task title can be modified.

  • Expand/ Collapse button - to minimize or maximize tasks.

  • Due | One | Two - number of days until due.

  • Parent - this means that the task is a parent of another task.

  • Child Task - this means that the task is a child of a parent and cannot be closed until the parent is closed. You can also set multiple child tasks for one parent task.

  • Six dots (drag and drop icon) - these six (light gray) dots give you the ability to drag your task to a new location.

  • Add Condition - adding a condition will prevent the task from closing if the condition has not been met.

  • Tags - The tag search will quickly allow you to filter the task. You can add as many tags as you want. You can assign a color or delete it by clicking “Manage Tags”.

  • Roles & Assigned Users - you can assign roles on each task and this will automatically assign your team, member/user, to that role. Using this function can help you organize your tasks. This can be assigned to your TC, Listing Manager, Compliance Officer, or any custom role of your choice.

  • Follow Up Boss: Assign a Task - assign a task to the Follow Up Boss user from Open to Close that will show up inside the Follow Up Boss account for an agent or TC to complete. You will need to choose the Follow Up Boss contact, Follow Up Boss user to assign the task, day, time, reminder, etc.

  • Task Card - We've added the ability to consolidate the task cards so that the priority label, parent-child buttons, address, and all the role assignment info can now be collapsed if they are toggled closed. To change your task settings, this can be found in Global Settings.

Note: This is an individual setting for each user. This is not a global setting for the entire organization.

Task Editor (right side panel)

  • EX (Exclude) - this means that it will not show up inside of the client and agent portal user.

  • Note - you can create a task note. The task note has the option to set a priority as HIGH, MED, or LOW, and assign it to the property. It can be pinned, excluded, deleted, and sorted.

  • Pinned - this feature allows you to keep the selected task on your transaction. Since pinned tasks stay on your transaction until you take them off, they can be useful as a reminder to track time on a certain task.

  • Critical - tasks are critical when there is no slack time, and they can't be delayed without affecting other tasks.

  • Internal Details - this can be used for internal instructions or procedures specific to this task.

  • Date Options - it will give you an option to calculate the conditional date, assign a task template, and reopen the task after it closes.

    • Conditional Date Calculation - it automatically calculates a task due date based on another task or a date within a property

    • Internal Details - this can be used for internal instructions or procedures specific to this task

    • Template - to assign or reassign this task to an applied template

    • Recurring/ Reopen - to reopen the task, days after the task is closed, or add a specific reopen date

  • Trigger - this allows you to automate your task and associate an action that can trigger the launch of the following templates: Task, Email, Text, and File/ Document.

  • Recurring - the task can be reopened after it is closed.

  • @Mention - being able to send direct messages to anyone inside of the transaction.

  • Trash Bin - to delete the task.

  • Conditional Date Calculation - automatically calculate task date based on another task or a property date.

  • Task Condition - the number of task conditions added to each task.
