Do you need to have a role assigned to the tasks in order to see them in the Task Pipeline when filtering the Team and Team User?

Yes, you will need to assign roles to tasks and have those roles assigned to your users on the corresponding team if you are sorting your filter view by Team and/or Team User. If you only want to view all the tasks assigned to a Team, you can filter by just the Team, which will pull in all properties assigned to that Team.

What is the difference between task trigger conditions and task conditions?

Task trigger conditions will determine if the trigger asset should be executed/fired off or not. Task conditions/locking will determine whether the tasks can be completed.

Why are my task conditions not locked? How do I see what conditions have been met on my tasks?

Task conditions that are met will allow you to check off the task. Task conditions can also be deleted from a task if you need to manually check off the task without meeting the conditions. Task conditions will either be listed in black text if the conditions have been met or in red text if they have not been met.

When a user updates a date on a property, does that update the task due dates and other dates?

If the task has its due date calculated based on a date field and the value of the field is updated, the due dates of the task will be updated.

If you have a date template applied where dates are calculating other dates, and you updated a date field that is tied to other dates, the system will update the date fields that are tied to it based on the calculation set on the date template. All of the dates for tasks connected to them should be updated as well.

Parent/Child tasks vs main tasks and subtasks. Which tasks should be completed first?

For Parent/Child tasks, you need to complete the Parent task first before you can complete the Child task. For subtasks, you have the option to either complete all the subtasks or not before the main task is completed depending on whether the subtasks are required.


Parent/Child tasks and subtasks have similar functions but do not inhibit each other. We suggest completing all subtasks on the Parent task first and then checking off the Parent task. Next, complete all the subtasks on the Child task and then mark the Child task as completed.

Will subtask details show in the portal or Follow Up Boss widget?

Subtask details are only available in the Team Member's Open To Close view. It will not show the subtasks if you push the task into Follow Up Boss and it will not show in the portal view.

My tasks are populating even when the task conditions are not met. What should I do to stop the tasks from being added when I apply the task template?

Tasks will populate regardless of task condition. Task conditions will prevent tasks from being completed if conditions have not been met. All tasks within a task template will be added once the template is applied to a transaction. Users can create a separate task template for the tasks that should only be added when a certain condition is met.

Can I clone a task from a different template to another?

Tasks can only be cloned and added within the task template. If the task needs to be added to a different task template, it must be done manually.

I updated my task template, but the changes are not showing inside the property. How can I make sure that my tasks are up to date?

Changes made to a task template will not retroactively apply to the template previously applied to the transactions. Users can either reapply the task template or manually update the tasks in the transaction.

How to stop recurring tasks from reopening with a past due date?

Recurring tasks will reopen with the original due date, not with the date the task reopened. Our suggestion would be to remove the due date on the task and have the task pinned or marked critical so it always stays at the top of the task list.

To stop a recurring task from appearing altogether, you will either need to edit the task and remove the recurring setting or delete the task.

If I set conditions on an email trigger in a task and the conditions are not met, where does that email trigger go?

It will be in the Failed Trigger tab. To check it, click the Priorities bar inside the transaction and then click on the Failed tab.

How do I see the task trigger information?

Find the task you want to see the trigger information for and click on the lightning bolt icon on the right side of the task card. Once there, you can click on the drop-down arrow next to Options. This will expand all of the options for the trigger on that task.

If you need to expand all of the triggers in your list, click on the Trigger Options drop-down in the upper right corner of the triggers.

Can I add a trigger to a task after the task has been created?

Yes, you can always create new task triggers on any task that is already assigned to a property. Our best practice suggestion is that if you are adding a task trigger manually to a task on a regular basis, make sure to navigate to the task template and add the task trigger to the task as well for any future transactions.
