How To Use the Property Email Address

If you are working with a contact such as a buyer, and are emailing them a document that also needs to be attached to the transaction in Open To Close, you can CC the property email address in the email. This will send it to the related transaction where you can review the document and either approve or deny it.

To get to the Property Email Address, go to the transaction and copy the email address in the upper right corner. You can share that with anyone who needs to send you documents.

Once someone sends an email to the property email address, you will be notified in a few different ways.

The first way you are notified is through an email notification sent to the email address you signed up for Open To Close. It will let you know when it was received, what property it's for, and how many attachments are included in the email.

The second is from the Dashboard's Property Notifications. If you are using the Property Notifications widget, the document sent to the property email address will show up there with a link that goes back to the property. There is also the option to mark it as read which will remove it from the widget.

The third way is from the Unapproved Property Documents. If you are using the Unapproved Property Documents widget, the document sent to the property email address will show up there with a link that opens up the document. In this widget, you also have the option to Approve or Reject the document.

The third way you will be notified is from within the property itself. Next to the Documents section will be a red bubble indicating you have new unapproved documents. Click on this to view any unapproved document that was sent to the property email address.

You can view the document by clicking on the title, move it to a folder, assign a file placeholder, or assign a file role. To the right of those options is where you can either approve or reject the document.

IMPORTANT:

Once a document has been rejected, there is no way for us to retrieve it. You would need to reach out to the person who sent the document. Please be careful to only reject documents you are sure you do not need.

Portal View

If you are a portal user, and have access to the Documents section, you can copy the property email address and use it to send documents to the Transaction Coordinator. You will receive an email letting you know that the TC received the document.
