How To Use DocuSign With Open To Close

DocuSign is an amazing tool that helps automate your digital document signing process. DocuSign is used by a large number of agents to make sure the documents for a transaction are easily accessible for signing.

With Open To Close's new integration with DocuSign, you'll be able to send documents from your Open To Close account to DocuSign for signatures. Once they are signed, they will be sent back into your Open To Close account as unapproved documents. From there, you will be able to set file roles and assign folders in the Documents section of your transaction.

Before sending your first document/envelope to DocuSign, you must connect your profile with Open To Close. To do this, head over to your Settings (gear icon) in Open To Close, and select Apps & APIs. Find DocuSign and click on Manage Profiles.

Click on Connect New Profile > to sign into your DocuSign account.

Before connecting your DocuSign profile to Open To Close, be sure you aren't signed in. Click on the Login URL link which will take you to DocuSign. If you get their login screen, this means you are signed out and are good to proceed.

Go back to Open To Close and click on Yes, I am logged out. A new button will appear that you can click on the log into your DocuSign account. Once you do that, your account will be linked to Open To Close.

Once your profile is connected, you have the option to set the Default DocuSign Profile on the property. Go to the property you need to send the document for and click on the green drop-down button to the right of the green Details button. Select Defaults & Settings from the choices.

Scroll down to the section where you can choose your Default DocuSign Profile. Click on the drop-down and select the DocuSign user's profile name. This will set that profile as the DocuSign profile for the property.

If the user does not have a DocuSign profile, you will see Not Provided instead of the user's name. You can still select Not Provided as the Default DocuSign Profile.

Now, go to the Documents section of the transaction and find the document you need to send to DocuSign. Click on its name to open the side panel on the right. From there, you can upload a document from your computer.

Be sure to update the name of the document, what the file role is, and what folder it belongs to. If you are using tags to filter your documents, you can add them here. Once the document is uploaded, you can add additional files and/or notes. Lastly, you can set a priority for the document by clicking on HIGH, MED, or LOW.

Close out of the file and go back to the Documents section. Find the document you just uploaded and click on the box to the left of the fully executed toggle option. This will open four choices at the bottom of your screen, one of which is Options. Click on this and select DocuSign.

A new side panel will open on the right side, where you will be able to do the following.

  1. Change the DocuSign Profile.

  2. Update the Envelope name (maybe something like, Please Sign: Address).

  3. Select the document(s) you want to send to DocuSign.

  4. Choose who the signers are.

  5. Choose whether you want to CC the property email address, which we highly recommend. You will also need to make sure you have the correct setting in DocuSign for the document to go back to Open To Close. Learn more about the setting here.

Very Important:

If you do not CC the property email address when creating the envelope, the document will not be sent to your Open To Close account after it has been signed. Having the property email address CC'd saves you a lot of time since you won't have to go back and manually upload the document to your account.

6. Once everything is in place, click on Build Envelope. This could take a few seconds to build so please be patient while it processes.

You will see a new button to open DocuSign once it's done processing. This will take you to DocuSign where you can follow the steps you normally take when setting the signers and email addresses.

Once the document has been signed, it will automatically go into your Open To Close account under the Documents section. This will show as an unapproved document. If for some reason you aren't seeing the document, click on Documents again to refresh the page.

You can click on the document title to see the signed document before you move it to a folder, give it a file placeholder, and label it with a file role. After all of those options are in place, click on Approve to save the signed document. If it's missing signatures or somehow not what you need, choose Reject instead.

Important:

Any file which is set as an Additional File will inherit the file role of the parent file regardless of the file role you set in this process. Only the name of the file will be set before you approve the file. If the target parent file has a file role, the file will be renamed based on your organization's global settings. If you need to see what documents have been sent for the transaction you are on, click on the More section and then DocuSign. This will take you to your DocuSign Envelopes for the transaction.

DocuSign Setting for CC'ing the Property Email

If you want the document that is being signed to be sent back to Open To Close after it has been signed, you will first need to change a setting in DocuSign.

Go to your DocuSign account and click on Settings on the navigation menu.

Once there, find Signing Settings under the Signing and Sending section.

Scroll to the bottom of the Signing Settings page to the Envelope Delivery portion. Under the option on how to deliver the self-signed email notifications, make sure that PDF is selected. If you do not select PDF, the completed documents will not go back into Open To Close.

Once you're done, click on Save.
