How can I get information for a large number of titles?

Quickly create spreadsheets of title numbers, addresses and registered proprietors for a portfolio of titles

When working on a large transaction with a number of titles it can be very tedious to get all the information you need. This can be made harder by deadlines set by clients. At Orbital Witness we don't believe lawyers should be doing such tedious work, so we've expedited the process with two simple steps.

Step 1: Identify the relevant titles

  • If you don't have your desired titles in your matter, you can add a large number of titles to your matter at once if you have either the title numbers, corporate owner or geographic area (e.g. a tower block or site for development). You can add up to 1,500 titles in one import or search an area up to 20 square km.

  • If you already have the titles in your matter, simply select the checkboxes next to the relevant titles or groups of titles. You can select all in the top-right of your left-hand list of titles.

Step 2: Check the day list

  • Once your titles are checked, select the "export pending applications option"

  • For a large number of titles, it may take a while to download.

  • Tip: If this still doesn't work you may need to enable pop-ups from Orbital Witness.

Step 3: Download Official Copies

  • Head to the analysis page and click "Order unpurchased titles" to get all of the un-purchased registers in your matter which haven't previously been purchased by anyone in your firm.

  • Or, select the titles you want to purchase from your title list and then select "purchase official copies", then select Title Registers and/or Title Plans as appropriate. NOTE: If you already own the register and select this option, you will "refresh" the Title Register/Title Plans.

  • As well as appearing on the analysis page, your registers will also be saved to your Orbital Witness document library and will be visible to anyone you've shared your matter with. These can then be downloaded to your computer in bulk "as PDFs" and then saved to your document management system.

Step 4: Analyse and export title information

  • Navigate back to the Analysis page to see basic information for every title in your matter and more detail, extracted from the register, for titles you've ordered.

  • There are some ready-made templates, otherwise "Edit columns" to choose which fields you'd like to make visible, drag and drop columns to reorder them.

  • You can then "Filter" each column to show only specific titles, or right-click to sort or group titles by a field, for example by owner or lease term.

  • Click on a title number to order or view the full register and pending applications or power search across multiple registers using the All register entries template.

  • Click "Export" to download a spreadsheet of your customised table to share with clients or colleagues. There is no charge for this.

Step 5: Generate a report

It's super easy to start to create a report for a large number of titles, including a CLLS Certificate of Title report.
