This guide is for an operations/senior manager.

If you are an administrator/controller, no need to read this article! 😊


There are some important steps that need to be completed in order for you to get set up with the Orka Works x TEAM (Timegate) Software integration.

First things first, in order to benefit from the Orka Works x TEAM (Timegate) Software integration, you need to be a customer of Orka Works and TEAM (Timegate).

If you are, follow these steps:

  1. Let your Customer Success Manager (CSM) at TEAM (Timegate) and at Orka Works know that you would like the integration

  2. TEAM (Timegate) and the team at Orka will start the process of getting your integration set up

  3. Your CSM at TEAM (Timegate) will have a call with you and walk through the set-up steps including the management of the following security items (more details on this below)

  4. Once this call has been had, we will run a test to see if all is operating correctly and you'll be live with the integration!

But what are security items?

The TEAM (Timegate) security model has security items that are designed to represent the pages in the user interface (UI) on your TEAM (Timegate) portal. You can either display or hide UI elements by function roles (explained below).

There are four security items specifically created for Third Party Suppliers, like Orka Works:

(1) Send to Supplier: This is a security item that shows an element to send a duty to a supplier

(2) Supplier Rate Card: This is a security item to show a card to set up the supplier rate

(3) Third-Party Supplier Branch: This is a security item to show an element to change the behaviour of the branch to a third-party supplier branch

(4) External qualifications: This is a security item to show an element indicating that it is an external qualification


What will be covered on the call with the CSM at TEAM (Timegate)

a. Ensuring your staff members are assigned to the correct security items

The CSM will guide you on how to give the appropriate access to these security items to your staff members by following the path:

Admin > Security > Function Role > Customer

b. Security Item: Sending to Supplier

You are able to give access to specific security items to your staff members depending on their function and what level of access you would like to give them.

It is possible for you to enable or disable your staff member from viewing the Send to Supplier toggle when on a duty. To do this...

  • Select the function role you would like to change security items for

  • Select Operations under Security Items

  • Scroll down and enable/disable the item "Toolbar - Send to Supplier"

  • Press save

c. Security Item: Third-Party Supplier Branch

Next, you will want to give access to your staff members who are able to edit the behaviour of a branch to a Third Party Supplier Branch by...

  1. Selecting the function role you would like to change security items for

  2. Select Maintenance under Security Items

  3. Select Branches

  4. Select General Tab

  5. and you can then enable/disable that function role's access to Third Party Supplier Branch

By giving access to your team to see the Third-Party Supplier Branch on a duty, they will then be able to select this and then push the duty to Orka Works.

d. Security Item: Supplier Rate Card

The CSM from TEAM (Timegate) will then walk you through how to give permission to the relevant function role for the Supplier Rate Card by...

Administrative Functions (Web Client) > Admin Finance Functions > Supplier Rate Card

e. Security Item: Matching qualifications

In any integration, there will be some differences between the terminology used in the products. So that means its essential to match the qualification naming conventions so that information flows correctly between TEAM (Timegate) and Orka Works.

To do this go onto the relevant function role then...

  1. Click on the Operations toolbar under Security Items

  2. And you can enable/disable External Qualifications
