Receipts is where you bring money in. Many transactions in Accounting are receipts — a student pays a fee, a parent sends in a check, someone makes a donation. Each receipt records who the money came from, how it was paid, and which fund (or funds) it belongs to.
Think of Receipts like your checkbook register for money coming in. You record each payment as it arrives, assign it to the right fund, and later group receipts into a deposit to take to the bank.
Creating a receipt
To record a new receipt:
Go to Receipts → New Receipt. Choose Individual for money received from a staff member, company, or other individual. Choose Student for money received directly from a student, if your district has a SIS integration.
Contact: Enter name of person or company. If Student selected, select student from the list.
Deposit account: This defaults to your default checking account (configured in Settings). You typically won't need to change it.
Payment method: Select Cash, Check, or Credit Card. If you're recording a check, enter the check number.
Date: Defaults to today's date.
Amount: Enter the total amount received.
Description: Enter what the funds are for.
Fund Allocation: Assign the amount to one or more funds. Click “Add Fund” to add an additional line. If you split across multiple funds, the system shows a "remaining to allocate" indicator so you know when the allocation matches the total amount.
Post the receipt to save it.
Multi-fund allocation: A single receipt can be split across multiple funds. For example, a $100 check could be allocated $75 to the Field Trip fund and $25 to the General fund. The system confirms when the full amount is allocated and won't let you post until it balances.
Receipt statuses
Each receipt moves through these states:
Posted: The receipt has been recorded but not yet deposited at the bank.
Deposited: The receipt has been included in a deposit. The deposit number is shown on the receipt for reference.
Receipts that have been posted but not yet deposited appear as undeposited receipts on the dashboard, giving you a quick view of money that still needs to go to the bank.
Payment methods
Receipts currently support three payment methods:
Cash — for cash payments.
Check — for check payments. Enter the check number for reference.
Credit Card — for online or card payments.
Additional payment types are planned for future releases.
Receipts sub-areas
The Receipts area is organized into three sub-areas:
Receipts — record individual incoming payments and view all receipt history.
Deposits — group posted receipts into bank deposits. See for details.
Customers — manage the people or organizations who provide money. Each customer has a name, customer code, type, and email (required), plus optional address and tax ID.
