Notifications and Alerts

How to set low-balance thresholds, approval notifications, delivery channels, and school-specific vendor approval email recipients in Edlio Accounting.

Staying informed of pending approvals, low fund balances, and month-end deadlines is vital for school financial oversight. The Notifications and Email settings allow administrators and bookkeepers to customize alert triggers, multi-channel delivery rules, and school-specific approval email recipients.

Configuring notification rules

Navigate to Settings > Notifications. The configuration panel is organized into general threshold rules and specific notification types:

💡 Best-Practice Adoption Tip: Set the Low Balance Alert Threshold (e.g. $500 or $1,000 USD) to match your school's minimum operational buffer. Enabling both Email and In-App alerts ensures bookkeepers and principals receive timely warnings before any activity fund incurs a deficit.

Notification controls explained

  • Enable All Notifications: Master toggle switch controlling global alert delivery for your user profile.

  • Low Balance Alert Threshold: Numeric currency field (USD) defining when an automated warning triggers as a fund's cash balance declines.

  • Low Balance Alert Channels: Toggle the notification on/off, and select delivery methods: Email, SMS, or In-App.

  • Transaction Approval: Receive real-time alerts whenever a teacher or sponsor submits a requisition, invoice, or transfer requiring administrative approval.

  • Monthly Reports: Automatically receive an email digest on the first of each month summarizing previous month financial activity.

Customizing vendor approval email recipients per school

In addition to personal threshold notifications, district administrators can configure exactly who receives automated approval notification emails when a staff member submits a new vendor record in Edlio Accounting:

  1. Navigate to Settings > Email > Notification Recipients.

  2. District Default: Configure the primary email recipients who receive vendor approval alerts district-wide when no campus-level override is active.

  3. School Overrides: Select an individual school from the list to customize its notification routing. You can add up to 5 specific email recipients per school, ensuring local principals or campus financial secretaries receive payee review alerts for their building.

  4. Turn Off by School: Toggle the notification switch off for any specific school if payee onboarding is handled exclusively by central office staff.

💡 Best-Practice Adoption Tip: Check the School Overrides summary list at the start of each fiscal year to audit building-level recipient routing. While campus bookkeepers have read-only visibility into their school's assigned recipient list, only District Administrators can modify email addresses or toggle school notifications.
